As a Practice Manager, you will manage the daily business operations of the practice(s) by developing strong partnership relations with clinicians, leadership, and practice teams. You will be responsible for the financial performance of the practice(s) with a strong emphasis on employee performance and development and revenue growth. In this role, you will drive the revenue of the practice(s) through schedule utilization, increased patient base, and expense control and analysis. You will be a culture driver in our practices- aligning people with company mission and values.
Primary Responsibilities
- Develop and retain a strong practice team; create a welcoming, inclusive, compassionate environment for team members and patients. Actively work to retain team members and clinicians.
- Support the hiring and onboarding of clinicians and practice team members.
- Promote Company culture, and continually work to improve patient and clinician/employee satisfaction.
- Manage the daily operations and KPI’s of the assigned practice(s). Utilize data and reports to identify clinic-level success and operational improvements.
- Ensure adequate staffing to support the needs of our clinicians and patients
- Monitor payroll and error rates; monitor and approve time cards and time off requests
- Fill schedules; add Providers
- TOS Collections - %
- RCM error rate and correction time
- Past due balance collection
- New patient conversion
- Complete quality performance reviews on time. Support clinical performance reviews through feedback/input.
- Support clinician performance standards; timely notes closure, schedule utilization/optimization. Escalate to Operations or Clinical Leadership as needed.
- Review clinician availability monthly (32 available hours for FT). Make appropriate adjustments or escalate to ROD.
- Update Air Table status for clinicians.
- Manage office expenses.
- Ensure compliance with HIPAA and other healthcare regulations regarding patient privacy and confidentiality.
- Address patient inquiries, complaints, and concerns in a professional and timely manner.
- Collaborate with external vendors, laboratories, and insurance companies as necessary.
- Lead clinic-level practice meetings and team building events to promote internal culture and collaboration in care.
- Manage and maintain office equipment, office supply needs, and other inventory needs; monitor the inventory of medication samples.
- Provide front desk coverage and support when needed.
- Work across the market with other Practice Managers, Market Leadership, and Clinical and Medical Directors to continually improve and grow Company operations to bring care to more people.
- Work to continually improve practice operations and establish best practices.
- Be the first line of defense for in-office questions or challenges with systems or operations.
- Maintain compliance with healthcare regulations, and support the delivery of high-quality patient care.
- Maintain a robust social operating system, ensuring proactive and timely communication with stakeholders and partners.
- Be a great team member; collaborate and positively contribute to team and company culture.
- Other tasks as assigned.
Job Requirements & Skills
- Bachelor’s degree and 3+ years experience successfully leading an outpatient practice or facility operations.
- 4+ years people management experience.
- Proven experience working in a “dyad” leadership structure with clinical partner to deliver consistent performance.
- Strong work ethic, humble leader, passionate and enthusiastic personality with a high degree of integrity, and a positive attitude.
- Solution oriented, with the ability to work in ambiguity.
- Demonstrated leadership ability, team management, and interpersonal skills.
- Professionalism in all aspects of their work, especially in all communications internally and externally.
- Demonstrated ability to meet and manage to expectations with a strong focus on the details with the ability to see the bigger picture. Possess a blend of growth and operational mindset and skills.
- Excellent analytical and abstract reasoning skills, plus excellent organization skills.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.

Compensation: $85K-$95K base and additional bonus opportunity
