This position is based on site, 5 days a week, 8am- 5pm in the Greater Seattle Area.

Summary

We are seeking a highly polished, strategically minded Executive Assistant to serve as a trusted partner to our Chief Executive Officer. This role is far more than traditional administrative support – it is a high-impact position that sits at the center of the organization, interfacing with the Board, investors, government officials, and senior leaders across the business. The ideal candidate brings exceptional judgment, discretion, and organizational acuity, and thrives in a fast-paced, high-stakes environment. This role requires someone who can anticipate needs, act with urgency, and represent the CEO’s voice and priorities with professionalism and clarity.

Essential Duties and Responsibilities:

  • Strategic Calendar & Priority Management: Own and optimize the CEO’s professional and personal calendar, ensuring prioritization of high-impact engagements with investors, government officials, and internal technical and business leadership teams, including balancing personal commits.
  • Executive Communications & Gatekeeping: Manage a high-volume executive inbox and serve as the primary interface for external stakeholders. Exercise discretion, sound judgment, and clarity in all communications representing the CEO’s voice.
  • Meeting Preparation & Follow-Through: Prepare concise, high-quality briefing materials, agendas, and presentations for board meetings, investor engagements, and public appearances. Attend senior leadership meetings, capture decisions and action items, and partner with the CEO to drive follow-through.
  • Travel & Logistics: Coordinate complex professional and overlapping personal travel arrangements, including detailed itineraries and “travel packs” tailored to high-stakes meetings and site visits.
  • Operational Coordination: Partner closely with the CEO and the broader leadership team to drive organizational alignment, track strategic priorities, and continuously improve the company’s operating rhythm.
  • Special Projects: Lead discrete, high-priority initiatives encompassing executive events, strategic research, and internal process improvements, including personal logistics, as it aligns or conflicts with business needs.
  • Executive Board Support: Coordinate Executive Board, Officer, and Executive Committee meetings, including preparation of printed and digital agendas, logistical coordination, travel coordination, supporting materials, and maintenance of official records.
  • Communications & Relationship Management: Draft, manage, and oversee executive correspondence for both internal and external audiences, ensuring consistency of tone, accuracy, and brand alignment.
  • Administrative Assistant Mentoring: In recognition that this role is the most senior administrative assistant in the organization, will oversee the admin community and work to build community among the administrative group.
  • Cultural Projects: Will be a key in the coordination of community / culture events (example: All Team Meetings) and pulling the administrative community together to support community events.

Required Skills:

  • Exceptional organizational and time management skills with the ability to manage multiple high priority workstreams simultaneously
  • Outstanding written and verbal communication skills; ability to draft polished executive correspondence and briefing materials
  • High degree of emotional intelligence, strong discretion, and professionalism in handling sensitive and highly confidential information
  • Strong executive presence and confidence in engaging with C-suite, board members, investors, and government officials
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint). Ability to coordinate the building of CEO level presentations to the board and executive teams.
  • Ability to anticipate needs, think proactively, and operate with minimal direction in a dynamic environment
  • Strong analytical and research skills for preparing briefings, reports, and presentations
  • Detail-oriented with excellent follow-through and a commitment to accuracy
  • Skilled at building and maintaining relationships across all levels of the organization and with external partners
  • Ability to exercise sound judgment and serve as a reliable extension of the CEO’s office
  • Ability to mentor and at times lead on project assignments other administrative team members.

Education & Experience Required:

  • 7+ years of experience as an Executive Assistant, Chief of Staff, or in a comparable high-level administrative or operational role supporting C-suite executives
  • Prior experience supporting a CEO or President in a corporate environment strongly preferred
  • Experience managing board-level meetings, investor relations logistics, or government/regulatory engagements a plus
  • Bachelor’s degree strongly preferred; Business Administration, Communications, or related field
  • Demonstrated experience coordinating complex international travel and executive logistics
  • Background in healthcare, aesthetics, or a high-growth consumer company is a plus

Compensation:

At Sono Bello, we believe that our team members are the keys to our success. The compensation range for this role is $91,000 - $114,000 + bonus depending on experience.

Compensation Range

$91,000 - $114,000 USD

Additional Bonus

$9,100 - $11,400 USD

Pay may vary by location, and actual compensation depends on factors like qualifications, experience, skills, and business needs. Sono Bello may adjust this range in the future. Full-time employees may also receive benefits such as incentives, equity, health coverage, 401(k) matching, paid time off, and parental leave.
