Overview of role:

As a full and active member of the Amsterdam team your emphasis is on the day-to-day running of all shipment from objects for and to The Netherlands and to facilitate all administration of objects and export licences around this efficiently and smoothly. You are responsible for the logistical side and maintain close contact with our clients, art handlers and colleagues worldwide. You will organise all administrative activities and financial elements (billing) and will make sure the administration processes work effectively. Your main tasks include shipping & Logistics, Finance and Administration.

Responsibilities include:

  1. Shipping & Logistics
  • Coordinating all outgoing and incoming transports of art objects
  • Maintain contacts with numerous art shippers for quotes and transport
  • Requesting export licenses at the CBIU and be up to date with regulations
  • Build and maintain strong relationships with our international shipping department and ensure all is in track with Sotheby’s standards and procedures.
  • Communicator between Sotheby’s shipping departments abroad and answer all shipping related requests from our clients and colleagues
  • Ensure timely and successful delivery of all shipping
  • Make or/and coordinate shipping condition-checks (when requested) for works of art
  • Greet and direct clients and other visitors in our office and take in consignments for various locations (label and enter correct information in SAP)
  • Assisting the shippers with collection or/and delivery in the office, warehouse or at the clients home
  • Point of contact for large interdepartmental consignments and maintain contact with different sale locations about Dutch consignments and assist with administration, follow-up and other enquiries
  • Opening and closing the office
  • Other daily duties as assigned by management to assist in the operation of the office
  1. Administration and Financial Officer
  • Processing all incoming invoices and preparing them for payment
  • Keep track of all expenses to vendors
  • Point of contact for financial matters from vendors and financial departments worldwide
  • Entering incoming art objects in SAP
  • Creating new clients and keep information up-to-date in our client system
  • Maintain contact with all selling locations about Dutch submissions
  • Be point of contact for questions to Dutch customers
  • Assisting our experts with all administrative actions before, during and after an auction
  • Organize object photography in the office
  • Responsible for yearly stock check in our warehouse and safe

Skills/Competencies/Experience:

  • Dutch native speaker
  • You have at least 2-3 years of proven experience in as a shipping manager or in a similar position (HBO level)
  • Affinity with logistics and finance with a commercial approach
  • Experience with dealing and passion for art.
  • Good organizational skills with the ability to prioritize multiple tasks with speed, detail oriented and efficiency with proven ability of meeting deadlines.
  • Good interpersonal and communication skills, both written and oral, and a commitment to an exemplary level of client service.
  • Team player with a positive working rapport with colleagues across many departments and locations
  • Enthusiastic and calm under pressure, with a common-sense approach and willingness to have a go at anything with strong teamwork ethic.
  • Creative problem-solving ability
  • Advanced user of Microsoft Excel, Word and PowerPoint and knowledge of SAP and CRM system is a preference
  • Fluency in written and spoken Dutch and English
  • Driving licence B
