Position Summary

Sparkfund is looking for an experienced Coordinator to support Sparkfund's rapidly growing Talent & Culture team. This role will provide administrative support to all areas of People Operations, including HR, talent acquisition, IT, facilities / office management, event planning, payroll, and benefits administration. This role will own some key processes and databases within people operations, and they will also play an instrumental role coordinating special projects and events. This person must, therefore, be intrinsically motivated, highly organized, agile, and resourceful. They should be able to successfully balance their attention to detail with their ability to work efficiently. 

This role reports directly to the VP, Talent & Culture but may indirectly report to or work closely with other leaders within the organization on a project basis. This person will also collaborate regularly with other Talent & Culture team members on new projects or initiatives, best practices, process improvements, lessons learned, etc. 

This is a highly visible role within Sparkfund that provides an excellent opportunity to gain experience and insight into multiple corporate and project functions of the organization. Success within this role can springboard this person into a number of specializations or growth tracks within Sparkfund, such as HR, talent acquisition, IT, accounting, or any of our other teams or units!

Location

This is a hybrid role based out of Washington, DC. Certain responsibilities for this role must be completed in our office in Washington, DC, so this person must be able and willing to work out of the office 1-2 days per week on a regular schedule. 

This role requires minimal travel (no more than 10%), though there might be opportunities for travel. We do expect employees to travel to Washington, DC and / or other US cities 2-3 times a year for organized team and / or company gatherings to collaborate with other members of the team / company, learn the ins and outs of our business, and contribute to our company culture.

Key Responsibilities

  • Support HR, Talent Acquisition, IT, and the executive team with administrative tasks, such as scheduling meetings or events, booking travel arrangements, tracking laptops and other company equipment, coordinating event or meal reservations, etc. 
  • Support the recruiting process, collaborating closely with Talent Acquisition to communicate with candidates, schedule interviews, and collect feedback. 
  • Onboard new employees in close collaboration with Talent Acquisition, including communicating with the new hire, completing or tracking all onboarding tasks, scheduling orientation sessions, etc. 
  • Monitor and maintain key HR systems, such as the HRIS, employee files, and Applicant Tracking System, ensuring data and records are in compliance with federal and state regulations.
  • Manage general office administration, including stocking and organizing the kitchen and supply closet, tracking and updating key fob access, submitting and monitoring maintenance tickets, shipping and receiving packages, coordinating any third-party contractors, maintaining and enforcing safety protocols, etc. 
  • Update and maintain the company intranet, ensuring information and resources are up-to-date, organized, and accessible. 
  • Triage employee questions and concerns, providing them with the answer or resource or escalating the matter to the appropriate team member. 
  • Liaise with the Corporate Finance team on clerical accounting tasks, including payment processing, contractor invoice tracking, and PO generation.
  • Plan and coordinate company events, such as on-sites and retreats, collaborating closely with other team members on the Talent & Culture team as well as with internal and external stakeholders.  
  • Conduct research projects assigned or approved by the VP, Talent & Culture, collaborating with other Talent & Culture team members, executives, as well as internal and external stakeholders. 

Required Skills & Qualifications

  • 1-2 years of administrative, executive support, or related experience in a fast-paced work environment.
  • A self-starter with the initiative and drive to identify and do what it takes to deliver outcomes as well as the growth mindset to strive to improve. 
  • Proven ability to demonstrate integrity, good judgment, and composure in difficult situations and with incomplete and / or confidential information.
  • Strong organizational skills with a keen eye for detail. 
  • Experience effectively managing multiple projects and priorities simultaneously with the demonstrated mental agility and ability to switch between contexts quickly.
  • Strong written and verbal communications skills, including the ability to strategically adapt written and verbal communication for a variety of internal and external audiences.
  • Experience organizing and collaborating remotely using software and cloud-based information management tools such Google Workspace, Slack, etc.

Preferred Skills & Qualifications

  • Associate’s or Bachelor’s degree or equivalent experience.
  • Experience working with or within the energy industry, such as Utilities, Energy Services, and / or relevant trade contracting industries.
  • Experience with Applicant Tracking Systems (preferably Greenhouse) and / or HRIS. 
  • Experience with Slack, Google Workspace, HubSpot, , and / or Salesforce. 
  • Basic experience or familiarity with accounting concepts and practices, or a willingness to learn.
  • Basic technical proficiency or familiarity, such as setting up new laptops, troubleshooting basic technical issues, arranging and setting up office equipment / tech, etc.
