Spring Health is seeking a highly organized, proactive, and service-oriented Executive Assistant / Office Coordinator to support key leaders in our San Francisco office while helping create a seamless in-office experience for employees and visitors. This role will be a key operational presence in the SF office, while supporting our Chief Technology Officer and Chief Information Security Officer.
This is a full-time, in-person role based in San Francisco, Monday through Friday. This role will report directly to the Manager, Executive Support. Occasional travel may be required for team or company events and/or meetings.
What you’ll do:
- Proactively manage complex calendars, meetings, and priorities for supported leaders
- Prepare leaders for meetings by coordinating agendas, materials, and briefing documents
- Track deadlines, action items, and follow-ups to ensure strong execution and visibility
- Coordinate domestic and international travel, including flights, hotels, ground transportation, and itineraries
- Draft, proofread, and edit emails, presentations, and other business documents
- Support team meetings, All Hands, and offsites through planning, logistics, and execution
- Partner closely with leaders to anticipate needs, flag risks, and help them stay ahead of commitments
- Handle sensitive and confidential information with professionalism and discretion
- Manage expenses and other administrative workflows accurately and on time
- Create a welcoming, organized, and high-functioning office environment for employees and visitors
- Serve as the primary point of contact for guests, vendors, and office visitors
- Oversee front desk and day-to-day office operations, including supplies, snacks, mail, catering, and common spaces
- Support conference room readiness, meeting logistics, and in-office events
- Partner with cross-functional teams, including People and Workplace, on office operations and special projects

What you’ll bring:
- 3+ years of experience supporting senior leaders or executives in an Executive Assistant, Administrative Assistant, Office Coordinator, or similar role
- Strong calendar management, prioritization, and organizational skills
- Excellent written and verbal communication
- High level of professionalism, discretion, and judgment
- Ability to anticipate needs and operate with urgency in a fast-paced environment
- Experience coordinating in-office logistics, events, or workplace operations
- Comfort balancing both executive support and office-facing responsibilities
- Proficiency with Google Workspace, Slack, and other collaboration tools
- Must be able to work in the San Francisco office five days per week
- Must be able to lift up to 30 pounds
The target base range for this position is $94,350 - $125,000 and is part of a competitive total rewards package including benefits. Individual pay may vary from the target range and is determined by a number of factors including experience, location, internal pay equity, and other relevant business considerations. We review all employee pay and compensation programs annually using Radford Global Compensation Database at minimum to ensure competitive and fair pay.
