Receptionist
Duties:
- Responsible for answering main switchboard and directing calls while maintaining a professional demeanor and attitude.
- Paging staff when appropriate and handling situations/emergencies in an appropriate fashion.
- Receive calls, take messages, and assist clients (both internal and external).
- Responsible for making coffee for guests, stocking the fridge and coffee bar and notifying office assistant when kitchen-related supplies need to be reordered.
- Maintain current employee roster with telephone extensions and home/cell/pager telephone numbers. (not sure if necessary)
- Maintain a check-in list for visitors at the front desk each day.
- Update main voice mail greeting when necessary.
- Assist staff with reservation schedule for conference rooms for the Toronto office.
- Assist with maintaining orderliness of cubicles, conference rooms and kitchen.
- Assist with ordering catering for conference room meetings for the Toronto office as well as weekly fruit and snack orders.
- Manage incoming and outgoing mail and deliveries (i.e. FedEx, UPS, couriers and the like).
- Assist with document retention efforts and preparing and retrieving documents for off-site storage.
- Assist with photocopy/collation/binder assembly projects.
- Provide backup support to Executive Assistants when need-be.
- Assist with generating and preparing mailing labels/guest lists for various events or projects.
- Initiate building work orders if an issue arises.
- .Maintain postage in postage meter.
Basic Qualifications:
- High School Diploma required.
- Receptionist experience required.
Preferred Skills:
- Proficiency with multi-line telephone system or switchboard.
- Excellent organizational and interpersonal skills.
- Good working knowledge of PC and network environment, especially word processing.
- Ability to work in fast-paced, multi-task and professional services environment.
