Receptionist/Office Services Associate

Job Overview:

The Receptionist/Mailroom Associate delivers exceptional service by supporting a range of office operations and facilities functions. This versatile role includes assisting with mail and shipping operations, maintaining office supply and pantry inventory, setting up conference rooms, and providing light facilities support. The individual ensures the efficient operation of the workplace while upholding a professional image of the company.

In addition to these core responsibilities, the role involves engaging with employees and visitors to deliver outstanding customer service. Whether troubleshooting facilities issues, assisting with office moves, or supporting the business center, the  Receptionist/Mailroom Associate plays a key role in creating a seamless and professional workplace experience.

What You Will Be Doing:

  • Provide outstanding customer service by assisting with scanning, delivering, tracking, and reporting incoming and outgoing business packages and mail (via UPS, USPS, FedEx, etc.).
  • Support onsite personnel in retrieving packages and managing records through in-person interaction, email, phone, or other methods.
  • Oversee the onsite business center, which may include office supply stocking, assisting with copy/print orders, conference room setup, pantry inventory, light facilities tasks, or serving as a backup for the receptionist.
  • Assist with the inventory and maintenance of existing furniture and equipment, including minor repairs and troubleshooting facilities issues or coordinating with outside vendors.
  • Help with office moves and setting up meetings/events, including overseeing catering needs.
  • Maintain proper inventory for copiers, printers, fax machines, kitchens, and copy rooms.
  • Perform light cleaning and tidying of office and conference rooms.
  • Receive, sort, and distribute incoming mail and parcels to the business center.

What We Need From You:

  • 1+ year of experience in office administration, shipping/receiving, mailroom, retail, hospitality, or customer service.
  • A positive and professional attitude with a willingness to go above and beyond for our customers.
  • The ability to handle physical duties such as lifting, bending, and moving items up to 40 lbs.
  • Strong ability to work both independently and collaboratively in a team setting.
  • Familiarity with or willingness to learn technology, including handheld scanners, email, and professional messaging tools like Teams, Slack, or Google.
  • A bright, articulate demeanor with a neat and professional appearance.

Physical Demands:

  • Fine and/or gross motor skills, including the ability to grasp, lift, and move packages on a standard wheeled cart with a load capacity of 40 lbs.
  • Ability to walk, bend, kneel, stand, or sit for extended periods of time.
  • Manual dexterity required for operating office machinery (phones, copy machines, binding equipment, etc.).
  • Ability to lift or move packages weighing 40 lbs. or greater frequently.
  • Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Must be able to utilize a computer monitor and keyboard.
