Job Title: International Shipping Specialist

Reports To:
The International Shipping Specialist will report to the Logistics Manager, Supply Chain Supervisor, or equivalent leadership.

Job Overview:

The International Shipping Specialist is responsible for managing global shipping operations, ensuring compliance with trade regulations, and coordinating shipments across multiple carriers. This role requires expertise in international shipping documentation, trade compliance, and logistics tracking. The ideal candidate will have a strong attention to detail, problem-solving skills, and the ability to work in a fast-paced environment.

The International Shipping Specialist plays a key role in ensuring timely deliveries, minimizing shipping risks, and maintaining high service standards for both internal teams and customers.

Duties and Responsibilities:

Shipping & Trade Compliance

  • Coordinate international shipments with carriers such as FedEx, UPS, DHL, and freight forwarders.
  • Prepare and review shipping documentation (commercial invoices, packing lists, customs declarations).
  • Ensure compliance with trade regulations, including ECCNs, Schedule B/HTS codes, license codes, denied party screening, and EEI filings.
  • Monitor and track shipments, resolving any delays or issues with customs clearance.

Logistics & Documentation

  • Utilize logistics tracking software to oversee shipments and maintain accurate records (experience with BearTracks is a plus).
  • Maintain databases for shipping costs, transit times, and carrier performance.
  • Assist in negotiating shipping rates and optimizing delivery strategies.

Customer Service & Communication

  • Serve as the primary point of contact for shipping inquiries and logistics coordination.
  • Provide timely updates on shipments, delays, and resolutions to customers and internal teams.
  • Work cross-functionally with supply chain, sales, and customer service teams to ensure seamless shipping operations.

Process Improvement & Problem-Solving

  • Identify opportunities for cost reduction and efficiency improvements in international shipping.
  • Develop and implement best practices to streamline shipping operations.
  • Troubleshoot and resolve shipping-related issues, including lost/damaged shipments or regulatory challenges.

Competencies:

  • Strong understanding of international shipping, trade compliance, and logistics regulations.
  • Proficiency in MS Office Suite (Excel, Word, Outlook) and logistics software.
  • Excellent communication and problem-solving skills.
  • Ability to prioritize and multitask in a high-volume, fast-paced environment.
  • High level of attention to detail and accuracy.
  • Strong customer service mindset, ensuring quick and effective responses.
  • Ability to work independently while collaborating with cross-functional teams.

Qualifications & Education Requirements:

  • 3+ years of experience in international shipping, logistics, or supply chain management.
  • Bachelor's degree in Business, Logistics, Supply Chain, or related field (preferred).
  • Experience with shipping regulations, documentation, and trade compliance processes.
  • Knowledge of database software, scheduling tools, and freight management systems.
  • Strong analytical skills with the ability to interpret data and shipping trends.

Physical Demands:

  • Ability to lift up to 35 pounds and push/pull equipment as needed.
  • Must be able to bend, stoop, squat, kneel, and reach above shoulders for warehouse-related tasks.
  • Comfortable working in a warehouse or distribution center environment.
