Event Coordinator
The Event Coordinate provides exceptional event services, delivering operational functions in the following areas: Event Areas are clean and presentable to clients before and during events, prepare event space and elevators for guest arrival, collect event details and paperwork to meet event deadlines to support the onsite business service event in a timely manner.
Overall, this position continuously offers the highest level of service to all client and SPS employees while maintaining a professional image of the company by providing prompt, courteous, and efficient service.
Responsibilities may include:
Seasonal
• Execute special events booked at RC Venues and act as primary contact for on-site clients, vendors, caterers and building personnel from event handoff from sales/event manager
• Meet and greet client and assure customer service meets or exceeds our standards during all events
• Ensure that Event Areas are clean and presentable to clients before and during events
• Anticipate and address guest’s service needs as they arise and resolve all matters where expectations are not met
• Coordinate with event staff such as security, cleaning, electricians, and engineers
• Communicate with appropriate departments and vendors during load in, event and load out
• Prepare event space and elevators for guest arrival and oversee ingress and egress of event guests
• Maintain constant communication with client throughout the event to ensure expectations are exceeded
• Troubleshoot problems that may arise during the event regarding the venue
• Prepare for and oversee event load out
• Communicate extension rates to client, record and bill additional expenses following event
• Provide access to vendors for load out
• Send event recap following event
• Manage overnight load-in/out for company buyouts and partnerships/activations
Event Services:
• Facilitate walkthroughs for clients, vendors, security teams, or production companies ensuring all are aware of and respectful of the venue’s landmark status and property restrictions.
• Collect event details and paperwork to meet event deadlines (venue balances, COIs, load in forms, permits, staff lists, etc.)
• Communicate event details to team (property management, sales team, cleaning, security, engineering, electricians, etc.)
• Manage relationships with vendors on Preferred Vendor List and ensure insurance requirements are up to date.
Administrative Support
• Conduct post event venue walkthroughs and schedule required R&M
• Tracking and processing Venue invoices
Qualifications and Education Requirements:
- High School Diploma (or equivalent) required.
- 2+ years prior work experience preferred.
- Ability to work assigned work hours determined by manager.
- Flexible, Adaptable, and Dependable.
- A Team Player.
- Excellent organizational and time management skills.
- Analytical abilities and aptitude in problem-solving.
- Superb written and verbal communication skills.
- Current knowledge or ability to learn computer-based systems required for functions of position.
- Required to maintain an overall professional appearance and attitude.
- Adhere to all policies and procedures required.
Physical Demands:
- Approximately 50% of the time this position requires the below physical demands.
- Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.
- Ability to walk, bend, kneel, stand, and/or sit for an extended period of time.
- Manual dexterity is required for operating office machinery (phone, copy machines, binding equipment, etc.).
- Ability to communicate and decern information effectively with onsite staff using vision, hearing, and oral/written comprehension.
- Ability to lift or move 40 lbs. or greater frequently.

Pay Range
$28 - $28 USD
