Job Title: Hospitality Associate
Reports To: The Hospitality Associate will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.
Job Overview:
This Hospitality Associate position is directly responsible for the presentation, ordering, stocking of food and beverages onsite for all client gatherings, including meetings, events, interviews, seminars, and conferences. This position directly supports the onsite needs associated with onsite setup and tidiness of professional workspaces.
Overall, this position continuously offers the highest level of service to all client and SPS employees while maintaining a professional image of the company by providing prompt, courteous and efficient service.
Key Responsibilities:
Inventory Management: Monitor and maintain snack and beverage inventory levels across two floors, ensuring adequate supply at all times.
Ordering and Restocking: Place orders for pantry supplies and beverages based on consumption trends and inventory levels. Coordinate deliveries and verify shipments.
Quality Control: Ensure all snacks and beverages meet our quality standards. Check expiration dates and freshness of products regularly.
Organization and Presentation: Keep pantry and beverage stations neat, clean, and well-organized. Arrange snacks and beverages in an appealing manner.
Customer Service: Provide friendly and responsive service to employees who visit the pantry areas. Address any concerns or requests promptly and professionally.
Waste Management: Monitor and minimize waste by tracking consumption patterns and adjusting orders accordingly.
Compliance and Safety: Adhere to health and safety regulations regarding food handling and storage. Maintain cleanliness and sanitation standards in accordance with company policies.
Skills and Qualifications:
- Proven experience in a similar role preferred, with knowledge of pantry operations and inventory management.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage time efficiently.
- Excellent communication and customer service skills.
- Basic computer skills for inventory tracking and order placement.
- Knowledge of food safety standards and practices.
Duties and Responsibilities:
- Provides 5-star customer service to all employees (in all forms of communication).
- Orders, stocks and inventories, maintenance, preparations, and presentations of products.
- Sets up meeting spaces for onsite needs such as meetings, conferences, or meals.
- Submit work orders for certain requests.
- Service and replenish the barista, pantry, conference, kitchen, or meeting areas.
- Will perform meeting room and conference room set-ups.
- May perform building occupant moves within assigned facilities.
- Will perform light maintenance and cleaning duties as assigned.
- Maintains the Business Service Center area in a neat and orderly fashion.
- Monitors level of office supplies on the floor, and replenishes and orders accordingly.
- Proactively seeks out additional work during downtime.
- Builds professional relationships with customers and other teams.
- Maintains professionalism and composure when interacting with all employees.
- Trains back-up and providing guidance on policies and procedures.
- Determines what additional support is needed when handling sensitive inquiries.
- Provides exceptional customer service to client.
- Provides reception or concierge (front of office) and mail or office services (back of office) coverage as needed.
Competencies:
- Strong verbal and written communication skills.
- Excellent hospitality and customer service skills.
- PC skills – MS Office Suite experience.
- Ability to handle multiple tasks simultaneously.
- Good organizational skills.
- Requires knowledge and understanding of technological ordering systems and ability to comprehend instructions.
- Possesses the ability to work independently and is capable of completing projects.
- Adaptable and flexible to needs at a moment’s notice.
Qualifications and Education Requirements:
- High School Diploma (or equivalent) required.
- 1-2+ years prior work experience preferred.
- Ability to work assigned work hours determined by the manager.
- Excellent organizational and time management skills.
- Analytical abilities and aptitude in problem-solving.
- Superb written and verbal English communication skills.
- Current knowledge or ability to learn computer-based systems required for functions of position.
- Required to maintain an overall professional appearance and attitude.
- Adhere to all policies and procedures required.
Physical Demands:
- Approximately 50% of the time this position requires the below physical demands.
- Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.
- Ability to walk, bend, kneel, stand, and/or sit for an extended period of time.
- Manual dexterity is required for operating office machinery (phone, copy machines, binding equipment, etc.).
- Ability to lift or move 40 lbs. or greater frequently.
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
- Must be able to utilize computer monitor and keyboard.
