Client Service Associate
Position Overview
The Client Services Associate – Floor Ambassador plays a critical role in delivering an exceptional workplace experience. This position supports mail services, hospitality, facilities coordination, and general office upkeep to ensure a clean, safe, and professional environment for employees and visitors. The Floor Ambassador is a highly visible, customer-facing role requiring strong communication skills, attention to detail, and the ability to multitask in a fast-paced setting.
Key Responsibilities
Mail Services
• Deliver all newspapers each morning (8:30–9:00 a.m.).
• Inspect conference rooms daily (9:00–10:00 a.m.) to ensure proper setup, chair alignment, clean tables, and reporting exposed wires to management for IT follow-up.
• Distribute all UPS, FedEx, and messenger packages promptly to assigned floors; ensure all accountable packages are signed for legibly.
• Stock copy areas with paper (8.5x11, 8.5x14, 11x17) and required shipping supplies.
• Maintain cleanliness of copy areas; remove excess paper and trash.
• Monitor outgoing package drop areas and forward items to the mailroom for processing.
• Flip bins at 5:00 p.m. to indicate final sweep and sign associated logs.
Hospitality & Conference Room Support
• Ensure all conference room chairs are pushed in and tables are wiped down.
• Remove trash, dust equipment, and maintain clean and organized meeting spaces.
• Break down boxes and remove waste to the freight area as needed.
• Keep freight areas clean, free of obstructions, and compliant with fire safety standards.
Pantry & Housekeeping Support
• Stock coffee, tea, condiments, sweeteners, utensils, cups, lids, plates, napkins, soaps, and other pantry supplies.
• Discard expired milk and ensure all machines (coffee, water, ice) are functioning; escalate issues as needed.
• Clean refrigerator every Friday after 3:30 p.m.
• Wipe down counters, tables, appliances, and glass doors.
Restroom Maintenance
• Restock toilet paper, c-fold napkins, soap dispensers, and other supplies.
• Ensure restrooms remain clean, organized, and presentable.
• Wipe counters and address spills as needed.
Facilities Support
• Inspect and replace burnt-out light bulbs; escalate lighting needs when necessary.
• Ensure all access doors remain closed and secured.
• Perform light painting and minor furniture repairs when possible; escalate more complex issues.
• Assist with moving boxes, breaking them down, and placing them in designated areas.
• Support conference room setups, showroom breakdowns, and special workplace requests.
• Report facility issues requiring third-party vendors to management.
• Support Executive Assistants with tasks as requested.
• Maintain a VIP-ready environment at all times.
• Lift boxes weighing 25–35 lbs as required.
• Perform other duties as assigned.
Qualifications
• Strong attention to detail and a commitment to maintaining a high standard of workplace presentation.
• Excellent customer service skills with clear, professional communication.
• Ability to multitask, prioritize, and adapt within a fast-paced environment.
• Foundational knowledge of mail services, facilities operations, or hospitality is preferred.
• Ability to lift and carry 25–35 lbs consistently.
• Professional, reliable, and service-oriented demeanor.
• High school diploma or equivalent required.
Compensation:
The expected compensation is an estimate, and the final offer will depend on skills, experience, and other job-related factors.
Use of Artificial Intelligence (AI):
No AI or automated decision-making tools are used to screen, assess, or select candidates for this role. SPS uses the Greenhouse applicant tracking system, which does not apply AI in these parts of the hiring process.
