The Mailroom Associate reports to the Client Services Supervisor, Client Services Manager, or other designated leadership.

As a Mailroom Associate, you will be at the center of office operations, ensuring that mail, packages, and critical documents are processed accurately and delivered efficiently. Your work will support employees across the organization while helping create a seamless and professional workplace experience.

Duties and Responsibilities

  • Receive, sort, and distribute incoming mail, packages, and interoffice correspondence accurately and efficiently.

  • Prepare, package, and process outgoing mail and shipments using carriers such as USPS, UPS, FedEx, and other courier services.

  • Maintain accurate tracking records for all incoming and outgoing packages to ensure accountability and timely delivery.

  • Operate mailroom equipment including postage meters, label printers, scanners, copiers, and other office equipment.

  • Monitor inventory levels of office supplies and restock supply closets and distribution areas as needed.

  • Support facility operations by assisting with conference room setups, office moves, and other workplace support tasks when needed.

  • Provide friendly and responsive customer service to employees, vendors, and visitors.

  • Ensure compliance with company policies and security procedures when handling confidential documents and packages.

  • Maintain a clean, organized, and safe mailroom environment.

  • Support team operations by assisting with additional duties or special projects as assigned by management.

Qualifications and Education Requirements

  • High School Diploma or equivalent required

  • 2+ years of experience in a corporate mailroom, logistics, or facilities environment preferred

  • Strong customer service skills with a professional and approachable demeanor

  • Proficiency in Microsoft Office, Outlook, Teams, and common mailroom tracking tools

  • Ability to work efficiently in a fast-paced corporate environment

  • Strong attention to detail and accuracy

  • Excellent communication and collaboration skills

  • Ability to lift up to 50 pounds and remain on your feet for extended periods


Physical Demands

This position is based in a professional corporate environment and may require regular physical activity, including:

  • Lifting and carrying packages and office materials

  • Walking throughout the facility to distribute mail and supplies

  • Standing for extended periods while processing shipments and organizing deliveries


Travel

Travel requirements for this position are minimal or none, as duties are performed primarily within the assigned office location.
