The Workplace Experience Ambassador serves serves as initial point of contact for reception, hospitality and conference room services while ensuring a welcoming and well-organized workplace. The candidate is responsible for delivering exceptional employee and guest experience through engagement, proactive communication and high touch service.

The ideal candidate is service-oriented, highly organized, and proactive, with the ability to anticipate needs, manage multiple priorities, and create exceptional experiences for every visitor and employee interaction.


What You'll Do:

  • Reception: Greet and assist visitors, ensuring a professional and friendly first impression
  • Manage calendars and scheduling for all conference rooms
  • Oversee meeting and event coordination including services, setup, catering, and technology needs
  • Manage the reception desk including answering and directing phone calls, handing inquiries and overseeing visitor check-in procedures
  • Coordinate incoming and outgoing mail, packages and deliveries
  • Oversee the maintenance and cleanliness of common areas, conference rooms and shared workspaces
  • Manage office supplies, kitchen stock and other workplace amenities to ensure a comfortable and stocked environment
  • Liaise with vendors, building management and service providers to maintain optimal office operations
  • Serves as the eyes and ears of assigned floors/buildings to bring experience to life, enabling a holistic perspective of the whole workday through strong engagement
  • Observes the company culture, employee behavior and the environment to identify experiential needs
  • Captures individual preferences of colleagues and guests for future visits and thinks creatively of ways to accommodate any special requests
  • Conducts quality control walkthroughs to address immediate issues, pre-empt potential future issues and identify areas for improvement
  • Support ad-hoc administrative and facilities tasks as needed
  • Office staff support includes greeting guests, helping administrative staff with daily tasks, sending, and receiving packages and mail, coordinating lunches Business and personal errands for Executive staff on occasion.

What We're Looking For:

  • High school diploma or equivalent required.
  • Minimum of 1 year of experience in hospitality, reception, office services, workplace experience, or a similar customer-facing role in a professional or corporate environment.
  • Proficiency with Microsoft Office Suite and the ability to learn workplace technology systems.
  • Strong verbal and written communication skills.
  • Professional appearance and commitment to delivering exceptional customer service.

  • Attention to detail: Ensure all work is delivered with meticulous attention to detail (particularly important for immediate service issues and executive requests).
  • Organizational Skills: Manage time effectively to balance multiple tasks, stay hyper-organized, and succinctly prioritize Timely follow-ups are essential to the role.
  • Customer service orientation: Strong ability to work as a team player; be a part of the support system to RP’s colleagues; enable a positive experience for colleagues with all Operations services and processes. Be able to anticipate needs and compartmentalize any issues to always provide a stellar experience for each employee request and interaction.
  • Communication: Be able to swiftly act and communicate the progress of tasks to the employee cohort, team, and Exhibit excellent interpersonal skills in every interaction.
  • Efficiency: Streamline & continuously improve all processes to enhance the efficiency and effectiveness of the Operations
  • Adaptability & Flexibility: Shine with proactivity, demonstrating the ability to work independently; possessing the gumption to seek out tasks, not always waiting for them to be Possess a strong work ethic and realize that no task or ask is too small; being able to manage and adjust to last minute requests with aplomb. Reply to communications and tasks in an expeditious manner (matter of minutes) and deem that follow-ups become less and less of a supervisor requirement to instill trust and guarantee high quality of work is always completed with pride.

Compensation: 
The expected compensation is an estimate, and the final offer will depend on skills, experience, and other job-related factors.
