Client Service Associate
Position Summary
The Client Services Associate is responsible for delivering exceptional customer service and day-to-day support to clients, employees, and visitors. This role serves as a key representative of SPS, ensuring requests are handled promptly, workplace services are delivered consistently, and the client environment remains professional and well organized.
The ideal candidate is service-oriented, professional, detail-focused, and proactive, with excellent communication skills and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Client & Customer Service
- Serve as a professional and welcoming point of contact for clients, employees, and visitors.
- Provide responsive, courteous, and solution-oriented service.
- Receive, document, and coordinate client requests through the appropriate tracking system.
- Follow up on requests to ensure timely and satisfactory completion.
- Escalate issues or service concerns to the appropriate supervisor or manager.
- Maintain strong working relationships with clients and internal teams.
Daily Operations
- Support daily workplace and client service operations to ensure a clean, organized, and professional environment.
- Perform routine inspections of assigned areas and identify service issues or opportunities for improvement.
- Coordinate with facilities, housekeeping, mailroom, shipping/receiving, and other service teams as required.
- Ensure conference rooms, common areas, reception areas, and other assigned spaces are properly prepared and maintained.
- Assist with meeting, event, and special project support as directed.
- Maintain accurate daily logs, checklists, and service records.
Service Request Management
- Receive and accurately document client requests.
- Prioritize requests based on urgency and business impact.
- Coordinate with internal teams and vendors to ensure requests are completed within established timelines.
- Monitor outstanding requests and communicate status updates to clients.
- Escalate unresolved or recurring issues appropriately.
Administrative Support
- Assist with reporting, scheduling, inventory tracking, and other administrative activities.
- Maintain accurate records and documentation.
- Monitor supplies and report inventory shortages before they impact service.
- Assist with monthly metrics, KPIs, and service reporting as required.
- Support special projects and client initiatives.
Safety, Security & Compliance
- Follow all SPS, client, safety, security, and site-specific policies and procedures.
- Maintain a safe and professional work environment.
- Immediately report safety, security, maintenance, or other operational concerns.
- Protect confidential client and employee information.
- Follow all required OSHA and workplace safety practices.
Qualifications
- High school diploma or equivalent required.
- 1–3 years of customer service, hospitality, facilities, workplace services, office services, or related experience preferred.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Professional, polished, and approachable demeanor.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficient with Microsoft Office and comfortable learning client and company systems.
- Ability to work independently while collaborating effectively with a team.
- Reliable, flexible, and committed to delivering high-quality service.
Preferred Attributes
- Hospitality or corporate workplace services experience.
- Experience supporting corporate clients, executive offices, or high-touch environments.
- Strong problem-solving and follow-through skills.
- Ability to anticipate client needs and proactively address service issues.
- Experience working with KPIs, SLAs, ticketing systems, or service tracking platforms.
