Project Coordinator, IT & Operations

We are looking for a responsible Project Coordinator to administer and organize all types of IT and business operations projects from simple activities to more complex plans. Project Coordinator responsibilities include working closely with our Project Management and Business Analysis teams to prepare project plans, including resources, timelines and budgets. You’ll perform coordination tasks such as schedule and risk management along with administrative duties such as project documentation and process creation, as well as  fielding questions from project teams. To succeed in this role, you should have excellent time management and communication skills as you collaborate with our cross-functional teams to deliver results in a  fast-paced environment.

What You'll Be Doing:

  • Work closely with the IT and Operations team to plan and execute project activities
  • Assist Project Managers to prepare project artifacts (e.g. Kick off presentations, schedules, RAID logs, RACI’s..), ,scorecards, status updates, and other key deliverables
  • Coordinate and schedule project meetings, workshops, and stakeholder sessions, managing invitations, agendas, and meeting logistics.
  • Break complex projects into manageable phases and activities to elicit a continuous delivery model across a rolling series of target delivery dates 
  • Work alongside the Project Management team to monitor project plans, identify, mitigate and eliminate risks, issues, and roadblocks.
  • Assist Project Managers and Business Analysts to store, track, update and manage all applicable project documents and deliverables 
  • Create and maintain comprehensive project documentation, templates, checklists and reporting using Smartsheet
  • Participate and help drive the continuous improvement of the project management processes and procedures.
  • Work closely with Procurement to coordinate project activities related to software evaluation and acquisition, vendor MNDAs and quarterly vendor reviews 
  • Liaise with business stakeholders to identify and define requirements, scope and project objectives
  • Act as the point of contact and communicate project status to all participants for applicable projects

What You'll Bring to the Table

  • 1-3 years of experience in a project coordination, administrative, or similar support role, preferably within a corporate or project-driven environment
  • Experience in project management best practices, methodologies, and lifecycle management 
  • Ability to prepare and interpret organization charts, flowcharts, templates, schedules and step-by-step action plans
  • Familiarity with risk management 
  • Strong working knowledge of Smartsheet is an asset
  • Strong working knowledge of Google Workspaces and Microsoft Office 365 tools   
  • Experience with collaboration tools (e.g., Slack, Confluence, Microsoft Teams).
  • Proven ability to manage multiple priorities, meet deadlines, and handle complex schedules efficiently.
  • Analytical thinker and problem solver with troubleshooting skills
  • Detail-oriented and excellent written communication skills, including ability to prepare accurate documentation, review and proofread for accuracy
  • A can-do attitude with the ability to anticipate needs and take initiative without constant supervision
  • CAPM or PMP, or other project management certifications is an asset
