Office Manager

Developers and companies around the world build on it, and the SDF team is expanding to support the rapidly growing and changing Stellar ecosystem.
The office manager will play a vital role in fostering a positive work environment at SDF by providing excellent administrative and organizational support to our San Francisco Office. They will focus on operational efficiency, help cultivate an inclusive and creative office culture, and support the multi-faceted needs of the SDF team.
The ideal candidate will have exceptional interpersonal, written, and verbal communication skills, be highly organized, and demonstrate the ability to work independently while exercising sound judgment.
In this role, you will:
- Office Operations: Oversee the seamless functioning of the office on a daily basis, ensuring all administrative processes run smoothly. Manage office supplies, equipment, kitchen essentials, and overall office facilities to maintain a productive and comfortable workspace. Optimize office space utilization through space planning, layouts, and floor moves.
- Front Desk Management: Greet, welcome and assist with visitor reception, handle incoming communications, distribute mail and packages in a timely manner.
- Vendor Coordination: Act as the primary point of contact for vendors and service providers, ensuring timely and accurate delivery of goods and services. Negotiate contracts, manage vendor relations, office budgets, and handle ongoing service agreements.
- Facilities: Manages facilities functions (reception, catering, furnishings, maintenance/repairs, office services and maintaining supplies), communicates effectively with vendor resources, including but not limited to landlord/property manager/engineer in lease and building operations matters. Manage food and beverage offerings to foster a positive and engaging company culture.
- Health & Safety Compliance: Ensure the office adheres to all health and safety standards. Develop, implement, and maintain office safety procedures and protocols to create a secure work environment for all employees.
- Event Coordination: Partner with Employee Engagement Manager to plan and execute a variety of company events, including social gatherings, internal meetings, office offsites, volunteer activities, and other engagements. Assist in coordinating event logistics, catering, and other related services to ensure successful events. Responsible for coordinating onsite happy hour events.
- Culture: Acting as a culture ambassador and a resource for employees, addressing operational concerns and facilitating solutions that enhance their workplace experience.
You have:
- 3+ years of experience working onsite and with remote teams as an office manager, workplace experience manager, or similar position
- Excellent organizational skills and attention to detail
- Ability to manage multiple projects with competing deadlines and priorities
- Ability to work with and clearly communicate with staff at all levels including executives
- Strong understanding of operational and facilities practices and procedures
- Ability to effectively interpret, present and communicate information to all levels of the organization
- Ability to organize and analyze data and prepare comprehensive reports for office leadership
- Experience in analyzing situations and bringing issues to successful resolution
- Strong business acumen and professional leadership skills
- Requires daily on site presence
We offer competitive pay with a base salary range for this position of $75,000 - $105,000 depending on job-related knowledge, skills, experience, and location. In addition, we offer lumen-denominated grants along with the following perks and benefits:
