Position Overview

As our Executive Assistant (“EA”), you will play a critical role in managing the executive team’s time, scheduling, and administrative needs. Your primary focus will be on optimizing supporting leadership’s schedule, coordinating high-priority meetings, and ensuring smooth daily operations. The ideal candidate will be an experienced, organized, and detail-oriented professional with excellent communication skills and the ability to collaborate with internal and external stakeholders of all levels.

 

What You'll Do

Time Management & Scheduling

  • Maintain an accurate and organized professional and personal calendar for members of the executive team while providing day-to-day support
  • Own scheduling and calendar prioritization for the executive team, prioritizing based on business needs and urgency
  • Confirm meeting agendas and gather relevant materials to ensure leaders are prepared for high-priority meetings
  • Handle scheduling and logistics for leadership team-wide meetings and events

Communication & Coordination

  • Maintain ongoing, fluid communications with the executive team
  • Coordinate and manage communications with internal and external stakeholders, including email triage, follow-up, prioritization, and escalation of urgent matters
  • Handle all confidential / sensitive information with extreme discretion
  • Organize and manage documents, files, and correspondence with accuracy and efficiency

Task Management & Leadership Support

  • Act as a trusted partner, developing a strong understanding of the business and proactively handling tasks independently
  • Operate as a resourceful builder who creates and optimizes processes, leveraging automation where helpful
  • Manage inbound requests requiring the executive team’s review, input, or approval
  • Handle expense reporting and processing with accuracy and attention to detail
  • Coordinate with the NYC Office Manager to manage mail, employee / external gifting, and other ad hoc support tasks
  • Arrange travel logistics, including flights, accommodations, and transportation, with a high degree of accuracy

 

What You'll Need

  • 5-8+ years of experience supporting senior executives or leadership teams in a Series B-D startup environment
  • Exceptional time management, organizational skills, attention to detail, and ability to manage multiple priorities effectively
  • Excellent written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders at all levels
  • Strong problem-solving skills and resourcefulness. Ability to determine priorities and take action accordingly
  • Fluent in Apple Products (Mac, iPhone), Google Suite (Gmail, Calendar, Docs, Slides, Sheets), Slack, and Zoom; ability to learn and work with other software tools

Salary information: The estimated base salary for this position is $140,000 - $170,000 USD. Additionally, we offer both significant equity and comprehensive benefits. Actual compensation is based on factors such as the candidate’s skills, qualifications, and experience.
