Position Type: Full-time, Remote (central time zone preferred)
Position Overview
The Facilities Coordinator manages work tickets across 8–10 facilities located across the country from coast to coast, ensuring timely resolution of maintenance needs and continuity of operations. In locations without an on-site Facility Manager (5), this role serves as primary facilities support to the Person in Charge (PIC). The ideal candidate brings strong organizational skills, multi-site coordination experience, and a solid working knowledge of mechanical, electrical, plumbing, and HVAC systems. Pharmacy environment experience is recommended. Some travel is required. Experience with Asana (or similar work management tools) is preferred.
Key Responsibilities:
- Manage, prioritize, and track facility work tickets across 8–10 sites across the Strive Network, ensuring all stakeholders are informed and the work is completed in a timely manner.
- Serve as facilities point of contact for PICs at locations without a Facility Manager; coordinate vendors, access, payments and communications.
- Triage maintenance requests; coordinate repairs for mechanical, electrical, plumbing, and HVAC systems; escalate complex issues appropriately.
- Schedule and monitor preventive maintenance at sites without on site Facility Manager; maintain accurate logs, service records, and asset documentation.
- Source, dispatch, and manage third-party service providers; obtain quotes, issue POs as needed, and verify completion and workmanship.
- Conduct periodic site inspections (virtual and in person) to identify safety, compliance, and maintenance needs; document findings and follow through to closure.
- Use Asana to organize tasks, timelines, dependencies, and reporting; generate regular status updates for stakeholders.
- Assist with small projects and minor facilities improvements, coordinating schedules to minimize operational impact.
- Support incident response (after-hours when needed) for urgent facility matters; coordinate on-call vendor coverage.
- Contribute to standard operating procedures and continuous improvement of facilities processes.
Qualifications:
- 2+ years of facilities coordination, property management, or building operations; multi-site experience preferred.
- Practical understanding and experience with mechanical, electrical, plumbing, and HVAC systems.
- Pharmacy, healthcare, or other regulated environment experience is strongly recommended.
- Proficiency with work order and task management tools; Asana experience preferred.
- Strong organizational, communication, and vendor management skills; able to handle multiple priorities.
- Proficient with basic office software (email, spreadsheets, documents); comfortable with digital documentation.
- Valid driver’s license; ability to travel between sites as required.
Bonus Qualifications:
- Trade certifications or coursework related to MEP/HVAC.
- Experience with CMMS or facilities management systems.
- Basic understanding of pharmacy environment requirements (e.g., temperature/humidity considerations, cleanliness standards).
Annual Salary
$60,000 - $75,000 USD
