JOB TITLE: Business Office Manager
JOB SUMMARY
The Business Officer Manager (BOM) is responsible for assuring that the daily operations of the business office and associated departments under the BOM comply with all applicable regulatory standards and organizational policies and procedures. Operating activities include scheduling, authorizations, medical records, coordination with clinical and other teams, and oversight of billing/collections department. The BOM partners with organizational support teams, including centralized business offices, contracted third party vendors and corporate revenue cycle teams to ensure key performance metrics are being achieved to drive strong financial performance.
DUTIES AND RESPONSIBILITIES
- Coordinate patient flow between front office and clinical staff and maintain open lines of communication to ensure appropriate patient care is achieved.
- Ensure efficient scheduling and coordination of facility resources in collaboration with leadership team to maximize top line growth.
- Oversight of all scheduling activities including existing patients, new patients and surgery schedules in partnership with interdisciplinary teams.
- Ensure that schedules are coordinated with the clinical staff and any changes are communicated appropriately.
- Authorize scheduling changes and exceptions, including add-ons as directed by Administrator.
- Supervise medical records’ activities and proper documentation including digital and hard copies.
- Oversee all revenue cycle functions including but not limited to point of sale collections, cash management, financial clearance, registration, billing, payment posting, claims processing, and accounts receivables.
- Coordinate with center leadership to determine case profitability.
- Ensure employees comply with regulatory and company policies in handling and accessing patient information.
- Maintain employee records and provider credentialing records as assigned and consistent with applicable regulatory standards and organizational policies.
- Coordinate physician and office onboarding and annual regulatory requirements.
- Be able to back up for all stations as necessary.
- Handle inquiries and complaints from patients, referring entities, attorney calls, etc. in a professional manner, consistent with organizational standards.
- Maintain positive relationships with referring sources and patients.
- Special projects as needed.
QUALIFICATIONS
EDUCATION
- High school diploma (or equivalent) required.
- Bachelor's degree preferred.
EXPERIENCE
- Minimum two years of related experience in a healthcare organization and/or medical supervisory experience required.

- Knowledge of clinic policies and procedures.
- Knowledge of computer systems, programs and spreadsheet applications.
- Knowledge of medical terminology.
- Knowledge of governmental, legal and regulatory provisions related to medical billing, practice management.
- Skill in managing people, processes & technology.
- Skill in gathering and reporting claim information.
- Skill in solving utilization problems.
- Skill in written and verbal communication and customer relations.
- Skills in working with Windows based software systems.
- Must possess communication skills to interact positively with physicians, patients and staff.
- Ability to work effectively with medical staff and external agencies.
- Ability to identify, analyze and solve claim problems.
- Ability to deal courteously with internal and external customers.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Ability to write policy and procedures and routine correspondence.
- Ability to analyze, summarize and troubleshoot.
