As we continue to grow, we’re looking for a skilled HVAC Dispatcher to support our service operations by optimizing technician schedules and ensuring timely, effective service delivery to our customers.

 

Position Summary:

The HVAC Dispatcher plays a key role in the smooth coordination of daily service operations. Reporting to the Service Manager, this role involves scheduling service appointments, communicating with both customers and field technicians, and maintaining detailed records of job progress. The ideal candidate is organized, responsive, and an excellent communicator who thrives in a fast-paced environment.


Key Responsibilities:

Scheduling & Coordination

  • Schedule and dispatch HVAC technicians based on job priority, required skill set, and geographic proximity.

  • Adjust routes and assignments as needed to accommodate emergencies or changing conditions.

 

Customer & Technician Communication

  • Serve as the first point of contact for customers regarding appointment times, delays, or updates.

  • Relay clear and accurate job details, instructions, and updates to technicians in the field.

 

Data Management & Documentation

  • Maintain detailed records of work orders, technician assignments, service completion, and communications.

  • Utilize dispatch and CRM/ERP systems to ensure accurate, up-to-date information is available to all relevant teams.

 

Quality & Efficiency

  • Monitor schedules to ensure timely response and efficient technician deployment.

  • Recommend process improvements to boost service delivery and customer satisfaction.

 

Problem Solving & Team Support

  • Resolve conflicts in scheduling, availability, or service constraints quickly and effectively.

  • Collaborate with the service team to ensure optimal performance and a positive customer experience.


Qualifications:

  • 3–5 years of experience in dispatching, scheduling, or customer service/logistics; HVAC or related service industry experience preferred.

  • Strong verbal and written communication skills with a customer-first attitude.

  • Excellent organizational skills with the ability to manage multiple tasks and changing priorities.

  • Familiarity with dispatch, CRM, or scheduling software, and proficiency in Microsoft Office.

  • Calm under pressure, adaptable, and solution-oriented.

  • Eagerness to learn HVAC terminology and operational flow.
