Position Summary:
We are seeking a highly organized and proactive Onsite Recruiting Coordinator to support full cycle recruiting operations. This role will focus on manually scheduling interviews, coordinating offer and onboarding processes, and supporting talent pipeline efforts. You will be a critical liaison between candidates, recruiters, and hiring teams—ensuring a seamless and professional experience throughout the recruitment journey.
Key Responsibilities:

Interview Coordination:
-
Schedule and confirm interviews manually across multiple time zones (no ATS automation).

Ensure a high-quality candidate experience by maintaining timely communication.

Offer and Onboarding Support:

Draft and coordinate offer letters for both salaried and hourly candidates.

Facilitate pre-boarding tasks and coordinate with relevant stakeholders to ensure smooth onboarding.

Candidate Management:

Conduct pre-screen calls focused on NDA discussions and logistics.

Collect signed NDAs and maintain accurate candidate documentation.

Provide white-glove support through each phase of the candidate lifecycle.

Pipeline and Sourcing Support:

Assist recruiters with sourcing candidates and tracking talent pipelines.

Maintain candidate spreadsheets and ensure up-to-date records.

Event & Hourly Hiring Support:

Coordinate and support recruiting events for hourly hiring initiatives.

Partner with event leads and recruiting teams to ensure event success.

Qualifications:
-
3+ years of experience in recruiting coordination, HR operations, or a related administrative role.

Strong organizational skills with the ability to manage competing priorities.

High attention to detail and strong written/verbal communication.

Comfortable working with confidential information (e.g., NDAs, offer letters).

Proficient in Google Workspace and MS Office; ATS experience a plus but not required.

Team player with a proactive, flexible attitude and a problem-solving mindset.
Preferred:

Experience supporting both salaried and hourly hiring.

Prior experience in a fast-paced or high-volume recruiting environment.
