Role Overview
We’re looking for a meticulous and communicative Production Coordinator to join our Story & Edit team. Reporting to the Pre-Production Manager, this role plays a key part in managing the flow of materials, schedules, and communication between departments to ensure sequences are production-ready on schedule. You'll work directly with the Director, Head of Story, Editors, and Production to help maintain clarity, structure, and support for our creative teams throughout pre-production.
Key Responsibilities
- Collaborate with the Pre-Production Manager to create and maintain a structured, creative-friendly environment for artists, editors, and directors.
- Manage the story and editorial schedule; track daily progress of storyboards and edits, ensuring sequences are completed and delivered on time.
- Coordinate Director’s schedule, including briefings, pitches, reviews, and meetings; ensure all stakeholders are kept up to date.
- Cast sequences to Story Artists in collaboration with the Director; communicate meeting times, pitch dates, and sequence expectations.
- Liaise with the Editorial Department to ensure storyboards are properly prepped and imported into Avid for review and iteration.
- Track editorial notes and ensure fixes are scheduled and delivered on time.
- Maintain and organize Story Department artwork; ensure each sketch is easily identifiable and trackable for future reference.
- Coordinate story/edit-related meetings, screenings, and reviews; take and distribute detailed notes when necessary.
- Work with other Coordinators and Department Managers to streamline cross-department workflows, addressing blockers as they arise.
- Distribute all script changes to the relevant teams; collaborate with dialogue writers to provide necessary information and deadlines.
- Maintain and update the voice recording script; coordinate the transfer of boards and animatics for voice sessions and attend sessions as needed.
- Track story clearance issues and escalate them to the Pre-Production Manager for resolution.
- Ensure that Story reference materials are available across departments, and that the design team receives the latest artwork as sequences evolve.
- Present and deliver story materials to internal and external stakeholders; manage deadlines and distribution protocols.
- Attend Executive Reviews and internal screenings; take notes and compile production reports detailing department progress and achievements.
- Maintain ongoing communication between Assistant Directors (ADs), Editorial, and the Story team regarding sequence status and updates.
- Assist with budget tracking and planning as directed by the Pre-Production Manager.
- Promote and uphold all relevant Health & Safety protocols on the production floor.
Required Qualifications
- 2+ years in animation, VFX, or film production—preferably in a coordinator or editorial support role.
- Strong understanding of pre-production and editorial workflows.
- Excellent organizational, communication, and time-management skills.
- Proficient in production tracking tools (e.g., ShotGrid, Airtable) and Avid (or willing to learn).
- Confident working across teams and departments with a proactive, solutions-first mindset.
Preferred Qualifications
- Familiarity with storyboarding, editorial timelines, and script revision tracking.
- Experience with voice recording coordination or script prep.
- Knowledge of production file naming conventions and version tracking.
