Executive Administrative Assistant

The Executive Assistant will provide high-level administrative support to the CEO and provide executive support in a one-on-one working relationship. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Here is what you’ll be working on:
- Support the CEO primarily and provide additional support to executive team members as directed
- Provide high-level administrative support to the C-Level Team, including managing calendars, scheduling appointments, and organizing meetings
- Draft, proofread, and edit documents, emails, and communications on behalf of the C-Level Team
- Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
- Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives and key stakeholders
- Manage travel logistics and activities, including accommodations, transportation, and meals
- Provide administrative and office support, such as note taking, scheduling, spreadsheet creation, prioritized task lists, as well as maintenance and organization of digital files and contacts
- Maintain professionalism and strict confidentiality with all materials
- Organize team communications and plan meetings and event events, both internal and off-site
A successful Executive Assistant must bring the following skills, knowledge, education, and experience:
- 5+ years of experience in an administrative role reporting to the c-suite
- Excellent written and verbal communication skills
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Ability to maintain confidentiality of information related to the company and its employees
- Organizational skills and effective time management to succeed in a fast-paced environment
- Ability to work well independently and under pressure
- Ability to collaborate with internal and external partners
- Experience juggling multiple high priority projects with the ability to stay organized and meet deadlines
- Highly professional appearance & demeanor at all times
- Availability to work on-site in Delafield, WI, five days a week
- Permanent eligibility to work in the United States without sponsorship
