The Administrative Coordinator will provide essential administrative support, manage phone inquiries with professionalism, and demonstrate strong communication skills. Additionally, the role involves contributing to the smooth operation of daily activities through effective clerical assistance.

This is a full-time non-exempt role and will be located onsite at our headquarters in Delafield, WI.

Here is what you’ll be working on:

  • Coordinate travel arrangements, including accommodations, transportation, and meals.
  • Welcome clients, visitors, and guests, assess the purpose of their visit, and guide or escort them to the appropriate location
  • Receive and distribute mail, documents, packages, and courier deliveries
  • Handle inbound calls by screening, identifying needs, providing information, and redirecting calls to the appropriate departments
  • Support other departments with scheduling and organizing meetings
  • Order and manage office supplies, ensuring the kitchen and refrigerator are well-stocked and maintained
  • Maintain a high level of professionalism and confidentiality with all materials

A successful Administrative Coordinator must bring the following skills, knowledge, education, and experience:

  • 2+ years of experience in an administrative role
  • Excellent written and verbal communication skills
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees
  • Organizational skills and effective time management to succeed in a fast-paced environment
  • Ability to work well independently and under pressure
  • Experience juggling multiple high priority projects with the ability to stay organized and meet deadlines
  • Highly professional appearance & demeanor at all times
  • Ability to work in office in Delafield, WI
  • Permanent eligibility to work in the United States without sponsorship
