The Administrative Assistant will provide essential administrative support, manage phone inquiries with professionalism, and demonstrate strong communication skills. Additionally, the role involves contributing to the smooth operation of daily activities through effective clerical assistance.
This is a full-time non-exempt role and will be located onsite at our headquarters in Delafield, WI.
Here is what you’ll be working on:
- Screen and handle inbound calls, assess needs, provide information, and direct calls to the appropriate departments
- Greet clients, visitors, and guests, assess the purpose of their visit, and escort them to the appropriate locations
- Receive, organize, and distribute mail, documents, packages, and courier deliveries
- Manage and maintain calendars, scheduling appointments, meetings, and conferences
- Review and update office procedures to ensure efficient and effective operation of clerical, procedural, and administrative tasks
- Process requisitions for office supplies, printing services, and related materials
- Support the marketing and sales teams with the planning and coordination of industry events and conferences
- Oversee the kitchen area, ensuring the refrigerator is well-stocked and maintained
- Uphold a high level of professionalism and confidentiality in handling all materials
A successful Administrative Assistant must bring the following skills, knowledge, education, and experience:
- 2 + years of experience in an administrative role
- Excellent written and verbal communication skills
- Adaptable team player with a positive attitude, ready to embrace change and overcome challenge
- Ability to handle confidential information with discretion and integrity
- Excellent organizational skills and time management abilities, thriving in a fast-paced environment
- Capable of working independently and performing well under pressure
- Proven ability to manage multiple high-priority projects, staying organized and meeting deadlines
- Professional appearance and demeanor at all times
- Able to work in our office located in Delafield, WI
- US work eligibility without sponsorship
