
Executive Assistant
At Tactile Medical, we specialize in developing at-home therapy devices to treat lymphedema, chronic venous insufficiency and respiratory illnesses.
Position Summary
The Executive Assistant is responsible to provide support to the executive team member and other key stakeholders while performing all job duties adhering to HIPAA requirements.
Accountabilities & Responsibilities
· Screen and respond calls to key stakeholders as requested
· Gather, prepare and produce high quality reports, presentations and other documents or information as requested
· Prepare for meetings and conferences (notice, agenda, pre-work, follow-up). Handle space procurement issues, obtain the necessary equipment, and make food service arrangements within established budget. Transcribe meeting minutes and distribute as necessary
· Plan and execute team meetings with multiple participants. Manage pre- and post-event activities to ensure all sessions are well coordinated and executed with high impact
· Coordinate lodging, travel arrangements and prepare itineraries for Executive team and Board of Directors
· Handle financial administrative tasks related to corporate card use and expenses, and process departmental invoices
· Accurately review and expediently process legal agreements and corresponding documents
· Partner with marketing team members to successfully execute events, conferences and meetings
· Act as liaison for leadership team and other internal team members, and as key contact for high-level partner and internal executive contacts
· Prioritize and organize multiple, sometimes competing requests for time and attention, and successfully navigate through to execution of high quality, timely deliverables
· Manage the Executive’s calendar, assist in efficient time utilization and balance multiple priorities
· Greet Executive’s guests and visitors, directing them to appropriate person in area(s)
Education & Experience
• Bachelor’s degree preferred
• 4-6 years’ experience working as an executive assistant in a fast-paced environment
Knowledge & Skills:
· Excellent written and verbal communication skills
· Exceptional organizational skills, with a high attention to quality and detail
· Strong initiative, follow through and ability to anticipate needs
· Superior knowledge in Microsoft Office (Outlook, Word, Excel, PowerPoint) with ability to learn various software programs quickly
· Demonstrated successful project management skills
· Ability to effectively manage multiple, competing priorities in a fast-paced, results-driven environment
· Ability to work independently and be resourceful, anticipating and communicating potential issues
· Strong customer focus and approachability
· Critical thinking, analytical and problem-solving skills
· Ability to learn quickly and acquire knowledge of organizational operations, procedures, and staff

Below is the starting salary or hourly range for this position, although offers may differ based on the candidate's location, job-specific knowledge, skills and experience.
US Pay Range
$70,800 - $99,120 USD
