Job Title: Receptionist & Facilities Assistant (12 month fixed term contract)
Working Pattern: Monday to Friday, 09.00 - 17.00 36.25 hours per week
Salary: £24,500 and up to 20% bonus and benefits
Location: Cardiff, hybrid working (1-2 days a week in the office)

The purpose of the Receptionist & Facilities Assistant role is to assist the wider Facilities Team by managing front of house duties, such as pass management, post duties, facilitating travel and accommodation bookings as well as other areas that fall under the Facilities Department and their site management obligations. The job holder will be required to comply with the FCA individual conduct rules and meet the Company’s fit and proper standards, which are assessed on a regular basis.

As a Receptionist & Facilities Manager at Tandem, your initial focus areas will be:
- Manage workflow on ‘Fresh’ ticket system to ensure tickets are completed within a reasonable timeframe.
- Meet and greet visitors at all levels of seniority, maintaining security by following procedures, monitoring logbooks and issuing visitors’ passes
- Arrange catering for any training or statutory meetings taking place as directed.
- Sort incoming and outgoing post.
- Liaise with customers, suppliers, and colleagues for any facility requirements.
- Liaise with appointed persons and manage office supplies, such as conducting stock checks, ordering supplies, including stationery, tea, coffee, and cleaning stock.
- Liaising with appointed persons and the Facilities Manager for authorisation and organisation of maintenance requests required across all sites.
- Liaise with the Finance Team for the processing of purchase order & invoices, utilising the software ‘Precoro’.
- Liaise with appointed persons & facilitate H&S requirements across the business, including quarterly office safety checklists and the subsequent remedial actions.
- Organise and facilitate seasonal/charitable office events.
- Co-Ordinate the collection of ESG data/Infographic data.
- Support the Facilities department on projects such as relocation/renovation
- Ensure First Aid & Fire Marshalls training and certificates are up to date.

- Exceptional written and oral communication skills
- Proficient with Microsoft Outlook and other Microsoft Programmes/Packages
- Excellent communicator, with the ability to organise and prioritise workflows.
- Self-motivated and able to be flexible, regarding working practices, workload and working hours.
- Honest and reliable.
- Excellent attention to detail.
- Commitment to delivering high quality administrative service to support the work of the team.
- Proficient in scheduling and managing a variety of tasks with competing deadlines.
