The Opportunity
Our Community Growth & Operations team is looking for a virtual event coordinator who will work to create an impactful and delightful group coaching experience by bringing together subject matter experts from our coaching community with peer groups from our customer companies. This includes coordinating and facilitating events, communicating and coordinating with coaches, and connecting people all over the world for a quality virtual experience. As a startup company, we need a self-starter that is able to be very hands-on and effectively communicate with individuals at all levels within the organization. Responsibilities:

  • Collaborate with customer success managers to produce a seamless group session experience for client point of contacts and attendees
  • Move scheduled group session events through the coordination pipeline via project management platform (ClickUp), includes:
  • Identify coaches to lead sessions and conduct outreach via email to gauge interest and availability, follow up as necessary and act as their point of contact throughout, connect them to all applicable point of contacts and share content outlines when needed
  • Schedule group sessions via Zoom, Microsoft Teams and Google Calendar and confirm hosts
  • Send invites out via HubSpot using outline descriptions
  • Moderate and facilitate group sessions as needed, offer support and tech checks
  • Contribute to instructional guides as processes shift and change; prioritize optimization at all times
  • Track payment information via Google Sheets and cross-referencing the Provider Admin Tool

Requirements:

  • Fluency in English; fluency in other languages highly desirable 
  • Ability to work US hours schedule as needed
  • Bachelor's degree 
  • 2+ years of events, administrative, client service or customer support experience
  • Experience planning, scheduling and coordinating virtual events across multiple video conferencing and collaboration tools 
  • Command of project management and CRM tools (ClickUp and Hubspot experience desirable)
  • Excellent organizational and project management skills
  • Ability to problem solve and multi-task with numerous deadlines
  • Tolerance for time-sensitive transactions, last minute changes and having to troubleshoot in real time just prior to or during events
  • Strong attention to detail
  • Excellent interpersonal, verbal and written communication skills
  • Experience with modern cloud based workforce systems and tools including Google Workspace and Slack 
  • Genuine interest in the mission of Task Human and in being a part of something bigger than any one person or business group
