We are looking for a highly detail-oriented and compliance-minded Payroll & People Ops Administrator to take ownership of end-to-end payroll processing and benefits administration, and provide operation HR support for our 300+ employees. This position plays a vital role in ensuring every paycheck is accurate, compliant, and on time—while also managing employee data integrity, leave administration, and HR compliance across the organization.

This role requires hands-on expertise with California payroll compliance (including weighted overtime, commission and bonus payouts, and meal/rest premiums), experience liaising with brokers and carriers, and strong HR operations capabilities. In addition, this person will play a key role in maintaining and optimizing the existing system connections between Paylocity and Bswift, troubleshoot system issues as they arise, support any future transitions to a new payroll provider, and ensure seamless HR data management and compliance.

  • Base Salary: $70,000 - $72,000

 

WHAT YOU’LL DO

Payroll Administration

  • Process semi-monthly payroll for all employees, including regular earnings, commissions, bonuses, and ad-hoc off-cycle payments
  • Manage payroll deductions, including taxes, benefits, garnishments, and pensions, ensuring accurate and timely processing
  • Review employee time punches for accuracy, resolve discrepancies, and process necessary corrections
  • Provide timekeeping support to employees and managers, including troubleshooting time clock issues and assisting with time entry questions
  • Own the end-to-end calculation of sales commissions, including verification of sales data, application of commission structures, and reconciliation with CFO
  • Ensure payroll is compliant with wage and hour laws, including California’s weighted overtime rules and meal/rest period premiums
  • Confirm the accuracy of commission and bonus calculations in coordination with department leads
  • Prepare final paychecks, including unused PTO payouts, in coordination with People Operations
  • Register and maintain state unemployment insurance (SUI) accounts across multiple states, ensuring accurate setup and compliance with state-specific requirements.
  • Generate payroll reports for earnings, taxes, and deductions to support financial audits and internal reviews

Benefits Administration

  • Serve as the primary point of contact for employee benefits, including medical, dental, vision, life, disability, and 401(k)
  • Coordinate open enrollment, new hire enrollments, and qualifying life events
  • Partner with brokers and carriers to resolve employee coverage issues and ensure accurate plan administration
  • Reconcile monthly benefits invoices, identify and apply credits, and ensure timely payment
  • Oversee COBRA administration in partnership with our third-party vendor, ensuring timely notifications and compliance with continuation coverage laws
  • Support FSA administration by resolving employee issues, verifying enrollment updates, and escalating discrepancies with vendors as needed
  • Assist with benefits-related accounting tasks, such as reconciling benefit accounts and preparing documentation for audits
  • Track benefit eligibility and enrollment changes within the HRIS
  • Maintain compliance with all required notices and communications (COBRA, ACA, 401(k), etc.)

HRIS & Employee Lifecycle

  • Maintain and update employee information in the HRIS system with accuracy and timeliness
  • Process new hire benefits enrollment and payroll setup within required timeframes
  • Conduct regular data audits to ensure integrity across payroll, benefits, and HR systems
  • Generate standard and ad-hoc reports to support HR data requests and business decisions

Time Off & Leave of Absence Administration

  • Process leaves of absence (FMLA, CFRA, PDL), including documentation and return-to-work coordination
  • Track and report on leave utilization and compliance metrics
  • Maintain leave documentation in accordance with retention requirements

System Integrations & Technical Support

  • Troubleshoot integration issues with Paylocity, Bswift, and third-party carriers or vendors
  • Collaborate with vendors to resolve issues and enhance payroll/benefits system functionalities
  • Play a key role in any future payroll system transition, ensuring data integrity, system configuration, and a smooth go-live process
  • Assist with system testing, validation, and user support during changes or upgrades

Compliance & Reporting

  • Stay informed on federal and California payroll and benefits regulations, applying changes proactively
  • Ensure compliance with all applicable federal and state regulations, including timely submission of required forms and reports
  • Conduct regular audits of payroll throughout the year to confirm pay accuracy, identify discrepancies, and ensure full compliance with applicable wage laws and pay standards
  • Own and submit EEO-1 reporting and other required workforce filings
  • Maintain organized, audit-ready documentation for internal and external compliance reviews
    Maintain up-to-date knowledge of changes in payroll and benefits laws to ensure ongoing compliance

HR Program Support & Business Alignment

  • Assist with ad-hoc quarterly or annual projects aimed at building and aligning People Operations with company business objectives
  • Support implementation of HR initiatives that drive business results
  • Contribute to process improvement efforts that enhance efficiency and employee experience
  • Participate in cross-functional projects that support company growth and scalability

 

WHAT YOU’LL NEED TO HAVE

  • 2 to 4 years of experience in payroll and benefits administration with HR operations exposure, preferably in a mid-size company (250–500 employees)
  • Hands-on experience with Paylocity or similar platforms (e.g., ADP Workforce Now, Paycor), including benefits integrations such as Bswift
  • Strong knowledge of California wage and hour laws (weighted overtime, final pay, meal/rest premiums) and experience handling multi-state payroll compliance
  • Experience with HRIS data management and reporting
  • Knowledge of leave of absence administration (FMLA, CFRA, PDL) and compliance requirements
  • Skilled in processing payroll involving commissions, bonuses, garnishments, and off-cycle payments
  • Proficient in troubleshooting payroll/HRIS issues, collaborating with vendors, and optimizing system functionality
  • Working knowledge of benefits administration, including 401(k), open enrollment, COBRA, and carrier coordination
  • Strong understanding of HR compliance and documentation requirements
  • Excellent reconciliation and documentation skills; strong aptitude for math and data accuracy
  • Detail-oriented and analytical, with a proactive approach to spotting discrepancies and resolving compliance issues
  • Strong communicator with sound judgment and discretion when handling sensitive employee matters
  • Highly organized, self-directed, and deadline-driven in a dynamic, fast-paced environment

 

WHAT’S NICE TO HAVE

  • Intermediate to advanced Excel skills (e.g., pivot tables, VLOOKUPs)
  • Experience working in multi-state environments, especially high-growth or rapidly scaling organizations
  • Prior experience with ACA reporting, 401(k) audits, and benefit carrier coordination
  • Experience supporting HR projects and initiatives
  • Knowledge of HR best practices and emerging trends
