Job Description:

As a Business Operations Coordinator, you understand the power of exceptional service and its ability to inspire customer behavior. You are organized, solution-oriented, and detail-focused, with a strong appreciation for business process discipline that enables teams to scale efficiently. Your role encompasses business operations, information technology, and project management responsibilities to facilitate efficient operations; however, most of the role is centered on providing a great service to the employees of the company. You will be responsible for managing office inventory, coordinating travel for employees and executive leadership, and assisting with IT onboarding and off-boarding processes. In this role you will collaborate closely with key individuals and external partners to support the effective execution of daily operations and business processes.

The successful candidate will have the ability to:

  • Manage business travel by setting up employees in SAP Concur, obtaining travel budgets from accounting, coordinating with Project Managers (PMs), approving travel reservations, and troubleshooting travel-related issues.
  • Assist with IT onboarding and offboarding processes, including setting up software accounts and providing training on the basics to get started: functionality, use, and business norms of technology platforms such as Slack, Monday.com, Google Suite, and more in both remote and in-office environments.
  • Maintain access control to corporate files and software tools, conducting regular audits to ensure appropriate access levels are in place across all stakeholders.
  • Work closely with Managed Service Providers (MSPs) to ensure all processes, hardware, software, and CMMC guidelines are followed.
  • Establish, document, and manage IT Service Support processes to ensure continual improvement and compliance with company standards.
  • Preboarding responsibilities for new hires:preparing new hire documents, ordering business cards, sending out new employee welcome boxes and office keys, scheduling orientation day meetings via Zoom or in Person, preparing office space and collecting company equipment.
  • Perform monthly Amex reconciliation by working with the finance department to map charges, organize receipts, and ensure all expenses are accurately documented with stakeholders.
  • Ensure both travel expense reports and general expense reports are reviewed and processed in a timely manner.
  • Manage and communicate with key stakeholders for special projects such as: website content updates, CMMI Appraisals, corporate policy reviews, team-building events, annual meetings, and developmental strategy workshops.  
  • Maintain process asset library for internal business processes ensuring their use and continued improvement.
  • Provide weekly updates to company leadership on project progress and any emerging issues.
  • Support new hires, clients, and partners by promoting company culture internally, highlighting projects, initiatives, and employees.
  • Support the release of an internal quarterly newsletter to foster engagement and transparency within the company.

Minimum Qualifications:

  • Bachelor’s degree in business administration, operations management, information systems, or related discipline.
  • 1-3 years of experience in business operations, administrative support, or a related role.
  • Demonstrated ability to work without direct supervision, including independently managing time to complete assigned tasks, taking responsibility for outcomes, and holding peers accountable to team goals.
  • Enjoy troubleshooting IT issues and mastering software platforms. Expert knowledge and the ability to quickly learn a variety of tools, including MS 365, Google Workspace, Box, Slack, Monday.com, SharePoint, Mural, Bonusly, and Zoom.
  • Excellent interpersonal and communication skills, interacting across teams and with varying stakeholders with an empathetic, solution oriented attitude.
  • Ability to implement and monitor the performance of established business processes, identify improvement opportunities, and lead process improvement enhancements.
  • Curious, with a proactive, problem-solving mindset and an open-minded approach to work.
  • Ability to handle sensitive and confidential information.
  • U.S. Citizenship or Permanent Residency (Green Card) required.

Job Location and Travel Expectations:

  • Washington D.C. metro area preferred, but fully remote is acceptable for a highly-qualified candidate. If in DC, maintain presence on-site during normal office hours 3-4 days per week, with option to work remote 1-2 days a week once fully on-boarded.
  • Occasional travel to Washington D.C. required.
