Office & Facilities Manager

Tecovas is looking for an Office & Facilities Manager to ensure our corporate office is a welcoming, well-maintained, and efficient workspace. This role is perfect for someone who thrives in a fast-paced environment, enjoys problem-solving, and has a passion for creating an exceptional office experience. Reporting directly to the Director, HR & Recruiting, this person will oversee vendor relationships, coordinate with our property management team, support new hire onboarding related to office logistics, handle space planning and support employee engagement planning and activities. Radical hospitality is key, as this individual will be the go-to person for maintaining a high standard of service for employees, guests, and vendors.
This role is required to be based in Austin, TX, and is a full-time Monday–Friday role based at our corporate headquarters. Candidates must either be currently located in or willing to relocate to Austin, TX.
What you’ll do:
- Manage and hold facility vendors accountable (i.e. snacks, lunch, janitorial, parking, pest control, plants, etc.)
- Act as liaison to our property management team and building owners
- Partner with our Technology team to manage office technology (i.e. security, WiFi, sound system, conference room equipment, conference room scheduling system, printers, etc.)
- Develop and maintain office access and safety procedures
- Coordinate office repairs, maintenance, and troubleshooting as needed
- Manage all aspects of our HQ space planning, including desk assignments, moves, and future space planning needs
- Procure office equipment and supplies and provide organization solutions for teams as needed
- Support new hire onboarding by coordinating parking, workspace setup, and office-related logistics
- Manage office budget and ensure timely reporting
- Manage the reception experience, ensuring guests and vendors are directed appropriately
- Own the incoming and outgoing mail process, including scheduling couriers as needed and scanning in packages upon arrival
- Support employee engagement planning and activities
- Organizing employee sample sales
- Maintain various documentation (i.e. contracts, warranties, processes)
- Ensure remote employees are equipped with everything they need to be successful
Experience we’re looking for:
- 2-3 years of office management experience
- Ability to approach problems with flexibility and creativity
- Exceptional written, verbal, and presentation skills
- Experience using a ticketing system to track, prioritize, and manage office-related requests is preferred
