Your Role:
Join our high-performing Sales Operations team as a Proposal Specialist and become a key player in driving revenue growth. The Proposal Specialist will be responsible for providing back-office support to Tenable’s worldwide sales team.
This role goes beyond traditional support; you will be the project manager of our proposal engine. You will be responsible for managing the entire proposal process from start to finish, transforming complex requirements into winning submissions. A key to your success will be harnessing the power of AI to craft and optimize content, dramatically increasing speed and quality. This position demands a highly adaptable and customer-centric individual who excels in a fast-paced, constantly evolving environment and has a passion for creating documents that secure new business.
Your Opportunity:
- Own the entire proposal lifecycle for government and commercial bids, from strategic planning and timeline management to final submission.
- Write, edit, and enhance proposal content by collaborating with subject matter experts and leveraging AI tools to create compelling, accurate responses.
- Lead the response process for complex security and compliance questionnaires, maintaining and improving a library of reusable content.
- Partner with Sales, Engineering, Legal, and other teams to ensure all proposal content is accurate, compliant, and aligned with customer needs.
- Meticulously proofread and format all final documents for clarity, accuracy, and adherence to brand standards.
- Thrive in a high-velocity sales environment, effectively prioritizing and managing a dynamic workload with frequently changing requirements and tight deadlines.
- Serve as one of the administrators and subject matter expert for our Proposal Management Software (e.g., Responsive), managing the content library, user permissions, system configurations, and overall health of the platform.
- Manage the curation of the central content library within the platform, partnering with cross-functional teams to ensure all security, compliance, and product information is accurate, expertly tagged for searchability, and regularly updated.
- Architect and govern the content library, with an emphasis on security and due diligence documentation, establishing a formal review cadence to ensure long-term content integrity and compliance.
- Continuously train, test, and optimize the platform's integrated AI model. Analyze its performance and moderation queues to improve the accuracy, speed, and contextual relevance of automated responses.
- Develop and execute our content strategy by leveraging analytics and content usage reports from the proposal software to identify knowledge gaps, measure content effectiveness, and guide future content creation priorities.
- Govern all content quality by acting as the final moderator within the platform's review cycle. You will review, edit, and fact-check all AI-generated and user-submitted content to ensure it aligns perfectly with our brand voice and accuracy standards before being published to the library.
- Leverage platform analytics and content usage reports to identify knowledge gaps, measure content effectiveness, and guide future content development priorities.
- Proactively identify and implement process improvements for the proposal and content management lifecycle, presenting data-backed recommendations to leadership.
What You'll Need:
- 4-6 years of direct experience in proposal management, preferably within the software, IT, or a related technology sector.
- Bachelor’s degree in a relevant field (e.g., Communications, English, Marketing) or equivalent professional experience.
- Proven experience with proposal management software is essential; proficiency with platforms like Responsive (formerly RFPIO) is highly preferred.
- High proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint) for document formatting and desktop publishing. Experience with a CRM system (e.g., Salesforce) is a plus.
- Exceptional organizational skills with a demonstrated ability to manage multiple proposals with competing deadlines in a fast-paced, dynamic sales environment.
- Outstanding written and verbal communication skills, including meticulous proofreading and editing abilities. You possess the interpersonal skills to collaborate effectively with a global team of diverse stakeholders.
- Strong analytical and problem-solving skills, including the capacity to quickly comprehend technical and general legal requirements in customer requests to identify and engage the correct subject matter experts.
