Job description:

An Executive Assistant at Teneo plays a critical role in supporting senior business leaders, ensuring seamless operations, and providing best-in-class service to support both the teams and individuals that they work with. With an initiative-taking mindset and strong organizational skills, the ideal candidate will thrive in a fast-paced environment, effectively managing multiple tasks and priorities with professionalism and discretion. They are responsible for providing a seamless foundation of administration that allows teams to function, as well as work closely with Executives to proactively support and anticipate their needs and understand their priorities.

The Executive Assistant will oversee assigned projects or activities, coordinate daily schedules/calendars, prepare for meetings, and manage travel. The ideal candidate will function under tight deadlines in a fast-paced, highly demanding work environment while exhibiting excellent customer service and professionalism in all interactions. They will pre-empt issues or problems before they arise, collaborating closely with the Executive(s) and as a point person for when their Executive(s) is unavailable. Executive Assistants are also responsible for building relationships with counterparts at client organization and across the Teneo network.

 

Responsibilities:

  • Proactively manage Executives’ inboxes and calendars, prioritizing correspondence, managing communications between them and executives, employees, and external contacts
  • Coordinate internal and external meetings, including project meetings, and ensure necessary logistics are arranged, across time zones if necessary
  • Provide direct support to senior executive(s), assisting with client interactions, team coordination, and administrative tasks to ensure timely project delivery
  • Anticipate upcoming events and meetings, preparing executives with necessary materials and maintaining a long-term perspective on organization goals
  • Serve as a point of contact for senior executives, handling communications and interactions with utmost professionalism and confidentiality
  • Assist with travel arrangements, considering executives’ priorities and managing complex itineraries efficiently
  • Undertake additional administrative responsibilities such as filing, document management, maintaining records, and reconciling travel & expense reports, invoices, etc.
  • Manage operational aspects of executives’ roles, including project setup and proposal preparation
  • Maintain confidentiality and business-sensitive information with discretion
  • Embrace agile working practices and support team members during absences or busy periods
  • Lead by example, fostering teamwork, collaboration, and a positive office environment
  • Foster positive relationships with counterparts at client offices and build knowledge of key clients
  • Manage miscellaneous personal requests
  • Support executives beyond traditional working hours and during travel or international assignments
  • Flexible on days/times in the office to ensure executive(s) are supported effectively on-site, understanding this may at times mean more than the minimum on-site weekly attendance

 

Qualifications:

  • Minimum 5 years' experience in a corporate environment providing support for senior-level executives
  • Hybrid working from our London office, minimum 3 days in office
  • Excellent written and oral communication skills are necessary
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
  • Ability to anticipate needs and proactively address potential issues with sound judgment and discretion
  • Meticulous commitment to delivering high-quality, client ready work
  • Ability to adapt to changing priorities and thrive in a fast-paced environment
  • Commitment to learning and professional development
  • Experience using Robin, Concur, MS Teams and NetSuite, a plus
