Facilities Assistant - Part Time (3 days per week)
The Role
Ensure a first-class reception service is always maintained, liaising daily with the Facilities team and carrying out all relative administrative duties.
Responsibilities
Reception:
- Provide cover to reception 2 days per week (Monday/Tuesday) and additionally as reasonably required for either holidays, sickness or lunch cover
- Answer, screen and forward any incoming phone calls while providing basic information when needed.
- Update appointment calendars and schedule meetings/appointments as required to assist staff and accept decline and manage request for rooms managed by reception.
- Greeting/Welcoming visitors and announcing them appropriately to their host.
- Client floor is always tidy and presentable.
- Client floor kitchens are stocked, tidy and well organised.
- Liaise with the wider Facilities team regarding events and ensure appropriate spaces have been pre-booked.
- Ensures meeting rooms and client area is managed accordingly with the hospitality member of staff.
Office:
- 1 day per week (Wednesday/Thursday/Friday) support the Facilities Management and Front of House teams with the day to day running of the office and front of house areas.
- Assist where required with the hospitality role to ensure best service to clients and staff.
- Ensure all meeting rooms are ready for use at the required time and have the correct layout and are presented to the required standard.
- Assist with the compliance of health and safety regulations in our office to maintain a safe working environment.
- Provide support in the Café and other areas for adjusting furniture, wall, etc as required and any other rooms that also need amendments.
- Ensure your own fire steward, manual handling training is kept up to date.
- Any other reasonable requests that fall under the Facilities remit not listed but within reason as requested by either the FE or FM.
- Manage the staff photo system getting all corporate staff pictures completed, distributed to staff and ensure Workday, Microsoft apps, etc are up to date with the current pictures in use.
Skills and Experience
- Confident with the ability to liaise effectively with a broad spectrum of internal and external stakeholders, colleagues, and suppliers.
- An excellent team player, good at motivating people.
- Excellent communication skills as well as excellent IT skills.
- A flair for organising, motivating, and making things happen, keeping track of several different projects simultaneously and the ability to remain calm when under pressure or when things do not run as planned.
- Knowledge of office management systems and procedures.
- Excellent time management skills and ability to multi-task, prioritise work and be proactive.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Proficiency in MS Office.
