Junior Executive Assistant

The Role:

We are seeking a highly organized and efficient Arabic-speaking Junior Executive Assistant with a passion for delivering impactful results to provide comprehensive support to our Dubai-based Executive Assistant and Team Lead and their team.

This is a hybrid role based in KSA and requires a proactive individual with exceptional communication and organizational skills. The ideal candidate will have experience supporting teams in a fast-paced environment and thrive in a role that demands multitasking and effective liaison with individuals at all levels across different organizations, countries, and cultures. You will anticipate potential issues, proactively offer solutions, and cultivate strong relationships with counterparts at client organizations and across the Teneo global network.

 

Responsibilities:

  • Primary Point of Contact in KSA: Provides comprehensive administrative support to the EA Team Lead and the KSA office, ensuring seamless communication and updates regarding the KSA office.
  • Relationship Management: Cultivate and maintain key relationships with Executive Assistants at client offices and develop a deep understanding of key clients.
  • Travel Coordination: Manage and coordinate all travel arrangements, including flights, accommodation, and ground transportation, ensuring timely preparation, adherence to company travel policies, and cost-effectiveness. Assist with visa applications and other travel-related protocols.
  • Proactive Support: Anticipate the needs of the team, filtering, prioritizing, and escalating issues as necessary, and recommending effective solutions.
  • Confidentiality: Handle sensitive business information with the utmost discretion and maintain strict confidentiality.
  • Flexibility and Adaptability: Demonstrate flexibility in undertaking new tasks and supporting other areas of the business as required.
  • Teamwork and Collaboration: Provide support to other Executive Assistants during absences and contribute to a positive and efficient working environment for the wider support team. Lead by example, fostering teamwork, actively participating in support team meetings and events.
  • Cross-Functional Collaboration: Build and maintain relationships with colleagues across the consultancy to gain a comprehensive understanding of all service offerings.
  • Knowledge Sharing: Contribute to a learning culture by actively sharing knowledge and insights and participating in relevant training.
  • Client Focus: Cultivate a client-centric environment, reflecting Teneo's commitment to client service.
  • Problem Solving: Proactively identify and address potential issues, focusing on solutions and maintaining a "can-do" attitude.
  • Client Support: Provide support to senior leaders with their clients and teams, including administrative and presentation support, particularly during periods of high pressure or resource constraints.
  • Event Planning: Organize client events, including lunches, dinners, and other client entertainment.
  • Expense Management: Manage, coordinate, and process expenses accurately and efficiently.

 

Skills & Experience:

  • Fluency in Arabic and English is essential, along with 2-5 years of relevant GCC experience.
  • Strong communication skills and a proactive approach are crucial for success, given the remote management structure. This position offers significant responsibility and the chance to make a real impact.
  • Proven experience as a First-class Executive Assistant in a professional services environment, with demonstrable exceptional communication and organizational skills.
  • Extensive experience supporting senior management and business leaders.
  • Ability to quickly become familiar with the Teneo brand, quality guidelines, IT systems, administrative processes, and internal systems.
  • Exceptional attention to detail and superior organizational skills to manage multiple, overlapping tasks effectively.
  • Strong understanding of the business to effectively support the team.
  • Excellent interpersonal skills to liaise with, build, and maintain relationships with key internal and external contacts.
  • Knowledge of relevant policies, including travel, expenses, gifts, and entertainment.
  • Diplomatic, discreet, polite, and patient demeanor.
  • Adaptable, proactive, and flexible approach.
  • Advanced proficiency in Outlook (email, calendar, internet, and intranet).
  • Intermediate proficiency in MS Word, Excel, and PowerPoint.
