The Role

A Team Coordinator at Teneo plays an integral role in supporting our team, providing best-in-class service and support across practice areas.  They are responsible for providing a seamless foundation of administration that allows teams to function, as well as well as proactively supporting and anticipating needs and understanding priorities.

They can function under tight deadlines in a fast-paced highly demanding work environment while exhibiting excellent client service and professionalism in all interactions.  They will pre-empt issues or problems before they arise, working closely with the Practice Managers, and build relationships with others within People Advisory. 

 

Responsibilities

Deliver client service excellence

  • Supports teams providing administrative, presentation or research support to ensure client projects can be delivered and BD work is maintained
  • Helps prepare for upcoming events or meetings
  • Works with the EA team to source information/documents and pre-brief material from relevant sources ahead of meetings to prepare the Senior Executive(s)
  • Supports planning and management of travel arrangements and itineraries
  • Scheduling internal meetings, organising project meetings and booking meeting rooms and catering where required
  • Additional administrative responsibilities which may include (but are not limited to) managing document libraries, keeping marketing collateral up to date, maintaining database records, expenses, invoices, timesheets, guestlists and contact lists

Business Development 

  • Attends meetings where required to support, take minutes and coordinate actions arising
  • Supports project management by developing timelines, providing required resources or skills and ensuring the smooth-running of the project
  • Assists with pitch preparation and associated tasks, as well as marketing and events, understanding these can require support and onsite coordination outside of normal working hours
  • Assists PM team with operational aspects of such as project set up forms, letters of engagement, credentials/pitch decks, offer letters, proposals
  • Responsible for events management with support and guidance from the PM team
  • Is flexible and adaptable in taking on new tasks or supporting other areas of the business when required

  • Manages business-sensitive information in a professional manner and maintains highest levels of confidentiality
  • Is flexible on days/times in the office to ensure teams are supported effectively on-site, understanding this may at times mean more than the minimum on-site weekly attendance
  • Leads by example, including demonstrating teamwork with colleagues and participating in support team meetings or events to enhance the office environment

Requirements

  • 1-2 years’ experience, preferably in a team coordinator/admin/personal assistant role
  • Has excellent Microsoft Office skills and is experienced in producing high quality documents
  • Excellent attention to detail with outstanding written and oral communication skills
  • Naturally collaborative
  • Demonstrates flexibility, adaptability, and proactivity
  • Strong organisational skills, including understanding of how to plan and manage time and resources and an ability to juggle projects effectively
