Job Description
We are seeking an Executive Assistant to provide high-level administrative and strategic support to an executive leader, who runs a large international portfolio. With a proactive mindset and strong organizational skills, the ideal candidate will thrive in a fast-paced environment as well as effectively managing multiple tasks and priorities with professionalism, utmost discretion, and attention to detail. The candidate will be responsible for providing a seamless foundation of administration that allows teams to function most effectively and efficiently—and that includes anticipating needs, asking smart questions, and staying connected to fast-moving developments.
The Executive Assistant will oversee special projects or activities, coordinate daily schedules/calendars, prepare the Executive for meetings, manage domestic and international travel, and handle expenses. The ideal candidate will function under tight deadlines in a highly demanding work environment while exhibiting excellent customer service and professionalism in all interactions. The Executive Assistant will work closely with the Executive and Chief of Staff to identify and pre-empt issues or problems before they arise and activate response plans when necessary. The candidate will also be responsible for building productive relationships with counterparts at client organizations and across the Teneo global network.
Responsibilities
- Proactively manage Executive’s calendar, including both business and personal appointments, with precision and speed.
- Coordinate internal and external meetings across global time zones, ensuring necessary logistics are arranged and executed properly.
- Provide timely project delivery for Executive, from assisting with client interactions to team coordination and administrative tasks.
- Prepare and edit correspondence, reports, presentations, and other confidential materials.
- Anticipate upcoming events and meetings, preparing Executive with necessary materials and maintaining a long-term perspective on end goals.
- Collaborate closely with Chief of Staff to support day-to-day operations of the Executive's office, including development of appropriate processes and procedures to ensure office runs most efficiently. Serve as a primary point of contact for Executive, handling communications and interactions with utmost professionalism and confidentiality.
- Manage travel arrangements efficiently, including complex, multi-stop international itineraries. Undertake additional administrative responsibilities such as reconciling travel & expense reports, maintaining records, processing invoices, and document management. Maintain confidentiality and handle highly-sensitive information with discretion.
- Embrace agile working practices, especially across global time zones, and support team members during absences or busy periods.
- Lead by example, fostering teamwork, collaboration, and a positive office environment.
- Develop positive relationships with counterparts at client offices and build knowledge of key clients and relevant business contacts.
- Manage occasional miscellaneous personal requests for Executive.
- Support Executive beyond traditional working hours and during travel or international assignments.
- Flexible on days/times in the office to ensure Executive is supported effectively on-site, understanding this may at times mean more than the minimum on-site weekly attendance.
Basic Qualifications
- Bachelor’s degree preferred or equivalent professional experience.
- Minimum of 5 years' experience in a corporate environment providing administrative support for senior-level executives and experience working with international business units and colleagues.
- Excellent written and oral communication skills are necessary.
- Proven ability to manage multiple priorities and deadlines under pressure.
- Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- High level of integrity, professionalism, and confidentiality.
- Detail-oriented with a commitment to delivering high-quality, client-ready work.
- Superior organization skills with ability to adapt to changing priorities and thrive in a fast-paced environment.
- Exceptional interpersonal skills and emotional intelligence.

- Ability to anticipate needs and proactively address potential issues with sound judgment and discretion.
- Commitment to learning and professional development.
- Experience using Curiocity, Robin, Concur, NetSuite, a plus.

Base Salary Range
$115–$130K (compensation for this role will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience that may fall outside of the range listed).

Flexible Work from Home Policy
Teneo believes in in-person collaboration when possible and if you are assigned to the New York, Washington D.C, San Francisco and Boston offices, the company expectation is for employees to work from the office location a minimum of three times a week.
