POSITION SUMMARY

We are seeking a detail-oriented and highly organized Contract Specialist to oversee our contract management software, ensure compliance with contract terms, and coordinate cross-functionally with accounting and other departments. This role will play a critical part in monitoring contractual obligations, tracking key dates, and ensuring that payment adjustments, renewals, and amendments are executed accurately and on time. The ideal candidate will have prior experience in contract management, strong software proficiency, and a background in legal operations.

RESPONSIBILITIES:

 Contract Oversight & Compliance

  • Maintain and manage the company’s contract repository, ensuring secure storage and accessibility.
  • Track key contract dates (renewals, expirations, payment adjustments, etc.) and ensure timely actions are taken.
  • Monitor contract performance, ensuring that obligations are met by both parties.
  • Conduct contract audits to ensure compliance with regulatory requirements and internal policies.
  • Serve as a point of contact for contract-related inquiries across all departments.

Software & Process Management

  • Oversee the contract management software, ensuring accurate data entry, tracking, and reporting.
  • Implement and maintain an alert system to track deadlines, renewals, and performance metrics.
  • Develop and optimize contract workflows to improve efficiency.
  • Train internal stakeholders on contract management processes and system usage.

Cross-Departmental Coordination

  • Work closely with the accounting team to verify financial obligations, price escalations, and payment terms.
  • Collaborate with marketing and operations at vendor intake to ensure contracts align with business needs.
  • Assist in the review of contract amendments, extensions, and renewals.
  • Maintain clear communication with vendors and external parties regarding contractual obligations when necessary.

Legal & Risk Management Support

  • Identify and document potential risks, ensuring mitigation strategies are in place.
  • Support legal team in dispute resolution and contract enforcement when necessary.
  • Ensure third-party compliance with contractual terms, including regulatory requirements.

QUALIFICATIONS:

  • Bachelor’s degree in Business Administration, Legal Studies, or a related field.
  • At least 3 years of experience in contract management or a legal setting.
  • Experience working in a law firm or in-house legal department is highly desirable.
  • Strong proficiency with contract management software and Microsoft Office Suite.
  • Exceptional attention to detail and ability to track multiple deadlines and obligations.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively across departments.

PREFERRED SKILLS:

  • Knowledge of rudimentary contract law and regulatory compliance requirements.
  • Experience with financial tracking related to contracts.
  • Understanding of risk management principles.
  • Familiarity with procurement and vendor management processes.
