Facilities Workplace Coordinator

The Facilities Workplace Coordinator is responsible for coordinating facilities tasks and supporting day‑to‑day workplace operations across TerraPower’s corporate locations. This role serves as a key partner to the Real Estate & Facilities team by combining facilities coordination, workplace operations, and vendor support at TerraPower locations at Bellevue and Everett.

The position plays an essential role in ensuring operational efficiency, maintaining high service standards, supporting facility budgets, and fostering strong vendor and stakeholder relationships across the organization. The ideal candidate is highly organized, proactive, and detail‑oriented, with the ability to manage multiple priorities in a fast‑paced and evolving environment.

The successful candidate will demonstrate a high degree of trust, integrity, professionalism, and collaboration while consistently fostering teamwork and delivering exceptional customer service.

Responsibilities

Facilities Operations

  • Plans, organizes, maintains, and manages the operations, reliability, and overall functionality of TerraPower facilities and infrastructure systems.
  • Monitors facility support requests through Jira ticketing systems, ensuring timely resolution and excellent customer service.
  • Assists in maintaining facility access control and security protocols for employees, contractors, vendors, and visitors.
  • Coordinates with Security and Facilities teams to ensure compliance for controlled areas, physical safeguards rooms, and other secure spaces.
  • Supports troubleshooting efforts and coordinates responses to facility-related issues, including escalations and occasional after-hours support.
  • Assists with front desk and workplace operations to maintain a safe, secure, and professional office environment

Program Coordination

  • Leads or supports special projects and continuous improvement initiatives assigned by the Director of Real Estate & Facilities.
  • Supports the development of operational procedures, manuals, training materials, and workplace guides to enhance consistency and scalability.
  • Analyzes operational data and produces reports, metrics, and trend analyses related to Jira requests, workplace operations, and facilities services.
  • Maintains organized project documentation and supports process improvement initiatives across the department.

Workplace Services

  • Support onboarding and offboarding activities for employees, contractors, interns, and secondees in partnership with HR and Access Control teams.
  • Supports front desk operations and general workplace coordination.
  • Coordinates workplace services including common area management, shared spaces, and employee workplace support.
  • Facilitates office services and workplace programs, including supply replenishment, kitchen and beverage support, shipping, shredding, and other shared services.
  • Assists in advancing initiatives that enhance workplace experience, operational efficiency, and employee satisfaction.

Executive & Administrative Support

  • Provide operational support to the Director of Real Estate & Facilities and members of the Executive Suite.
  • Support information management processes including document organization, SharePoint administration, and records management.

Vendor support

  • Coordinates vendor activities to ensure compliance with company standards, contractual obligations, and operational requirements.

Emergency Response, Safety & Compliance.

  • Participates in evacuation drills, debrief sessions, and emergency preparedness activities.
  • Support workplace safety initiatives and communications in partnership with EHS and Facilities leadership.
  • Maintain compliance with workplace safety, security, and operational procedures.

Communications & Stakeholder Engagement

  • Build and maintain strong relationships with employees, executives, vendors, business partners, and external stakeholders.
  • Serves as a trusted liaison between executive leadership, administrative teams, Facilities, and the broader employee population.
  • Communicate information clearly, accurately, and professionally while maintaining confidentiality and discretion.

Key Qualifications and Skills

  • Bachelor’s degree required; equivalent combination of education and relevant experience may be considered.
  • Minimum of 5 years of experience in facilities coordination, workplace operations, project coordination, executive support, or corporate administration.
  • Experience supporting corporate facilities operations, workplace services, or office administration in a fast-paced environment.
  • Strong project coordination and organizational skills with the ability to manage competing priorities and shifting deadlines.
  • Experience with vendor coordination, facilities operations, and workplace service management preferred.
  • Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
  • Strong communication and interpersonal skills with the ability to build relationships across all organizational levels.
  • Experience providing executive-level administrative support and coordinating cross-functional initiatives.
  • Proficiency with Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint.
  • Experience using SharePoint, Jira, Concur, and workplace management systems preferred.
  • Familiarity with access control systems, visitor management platforms, and space planning tools such as Lenel, Lobby Track, or Visio is a plus.
  • Strong analytical and problem-solving skills with the ability to develop reports, metrics, and process improvements.
  • Ability to work independently, exercise sound judgment, and adapt quickly in a dynamic environment.
  • Demonstrated leadership potential, professionalism, and commitment to teamwork and customer service.

Job details

Salary Range: $76,599 - $114,899

 

* We typically place offers in the lower to middle portion of the range to maintain internal equity and allow room for growth. Any salary offered within the posted salary band is based on market data and commensurate with the selected individual’s qualifications experience.  This range is specific to Washington State.
