Manager, Building Experience and Workplace Services

Reporting to the Senior Director of Real Estate & Facilities, the Manager, Building Experience and Workplace Services, is responsible for leading facility operations and managing a team that supports the daily functionality, reliability, and service delivery of corporate workplaces. This role oversees facility maintenance activities, coordinates common areas and meeting spaces, supports facility service requests through the JIRA ticketing system, and ensures timely resolution of operational needs. The Manager will drive operational excellence through effective team leadership, vendor management, budget support, process improvement, and delivery of high-quality facilities services across all corporate locations. This role is based out of the Bellevue facility and will be expected to travel to Everett and other facility locations as needed to support operational needs.  

Key Responsibilities:

Facilities Operations & Maintenance

  • Lead daily operations and maintenance for facilities, ensuring safety, reliability, and uninterrupted business operations.
  • Manage comprehensive maintenance programs by supervising Facilities Technicians and operational support staff, overseeing work priorities, preventive and corrective repairs, cleaning services, and facility improvements.
  • Support creating, implementing, and monitoring maintenance schedules for all facilities and infrastructure to ensure long-term reliability and readiness.
  • Conduct and coordinate routine inspections to ensure facilities are compliant with safety, health, accessibility, environmental, and regulatory requirements; identify potential risks; and proactively coordinate corrective actions.
  • Oversee facility service delivery and vendor performance by managing contractors and service providers, reviewing completed work, ensuring compliance with service-level expectations, and resolving quality, safety, or performance concerns.
  • Travel to Everrett and other facility locations to support operational needs.

Workplace Planning & Space Support

  • Support workplace planning initiatives by evaluating operational needs, recommending priorities, and optimizing the use of resources and current and future workspaces.
  • Support organizational space planning and seat mapping by partnering with internal stakeholders to assess workspace requirements and manage seating assignments to accommodate business growth.
  • Collaborate with landlords, property management, and internal stakeholders to ensure to ensure operational requirements and building service expectations are met.

Facilities Services & Employee Experience

  • Resolve facility support requests in a timely manner by monitoring and responding to JIRA service tickets, coordinating with internal teams and external vendors, prioritizing work activities, and following through to ensure employee and operational issues are resolved efficiently.
  • Lead troubleshooting efforts for facility-related issues, including coordinating after-hours support when required, assigning appropriate resources, and ensuring effective communication through resolution.
  • Support workplace experience programs such as catering services, office refreshments, wellness initiatives, and amenities that promote employee engagement, productivity, and a positive workplace culture.

Security, Access & Workplace Coordination

  • Support front desk operations and partner with the Security Manager to maintain effective access control, security compliance, and facility coordination.
  • Partner with the Events Coordinator to support conference room scheduling, shared space utilization, event setup requirements, and operational readiness to ensure a seamless experience for employees, executives, and visitors.
  • Provide operational support for executive and high-profile events by coordinating logistics, preparing meeting spaces, managing facility readiness, and delivering a seamless, professional experience for all attendees.

Inventory & Logistics

  • Approve purchases for office and pantry supplies, consumables, equipment, while maintaining cost accountability and alignment with budget objectives.
  • Manage inventory control for facility supplies, equipment, and consumables across all facilities locations by maintaining accurate inventory records, ensuring adequate stock levels, optimizing storage and organization, and supporting efficient resource utilization and operational continuity.
  • Partner with the Facilities Finance team for financial planning and reporting by providing accurate operational data, purchase information, and cost input.
  • Support corporate shipping, receiving, and logistics operations to support business continuity and operational needs.
  • Support employee and contractor onboarding and offboarding activities, including workspace preparation and equipment readiness as needed.

Team Leadership & Stakeholder Management

  • Recruit, train, mentor, and evaluate performance of facilities team members, establishing clear expectations and supporting professional development.
  • Act as the primary operational liaison between Facilities, internal departments, vendors, contractors, landlords, property management, and regulatory agencies to ensure effective communication and seamless delivery of services.

Special Projects

  • Lead or support departmental initiatives, special projects, and strategic priorities assigned by the Senior Director of Real Estate & Facilities, ensuring successful planning, execution, and delivery.
  • Perform other related duties and responsibilities as required to support organizational and facilities objectives.

Key Qualifications and Skills 

  • 8+ years of progressive facilities management experience overseeing multi-site operations with proven leadership in managing teams, vendors, and workplace services. Experience supporting geographically dispersed facilities across multiple U.S. states and international locations is highly desirable.
  • Bachelor’s degree or equivalent experience.
  • Demonstrated leadership experience managing teams in a fast-paced, dynamic environment, with the ability to lead cross-functional teams, effectively manage multiple projects and priorities, and adapt quickly to changing business needs while delivering high-quality results.
  • Strong vendor management experience.
  • Excellent communication and interpersonal skills.
  • Proven ability to build and maintain positive relationships with stakeholders.
  • High level of integrity, trustworthiness, and the ability to handle sensitive information.
  • Excellent written communication skills, with the ability to develop, document, and maintain clear, comprehensive, and professional standard operating procedures, policies, work instructions, operational manuals, and project work plans.
  • The successful candidate will possess a high degree of trust and integrity, communicate openly and display respect and a desire to foster teamwork.
  • Proficiency in relevant software is a plus: Concur, Jira, Lobby Track, and Microsoft Office Suite (including Visio or similar facilities mapping tools).
  • Experience with corporate relocations and large-scale logistical planning is a plus.

Job details

Salary Range: $103,578 - $134,518

*Any salary offered within the posted salary band is based on market data and commensurate with the selected individual’s qualifications experience. This range is specific to Washington State.
