What You Will Be Doing

As identifeye HEALTH’s Director of Administration, you will play a pivotal role in elevating our company culture, driving organizational excellence and optimizing our people operations to support business objectives. We’re looking for a dynamic and people-first leader, who brings a passion for adding value, leading through change and empowering teams to be their best selves and do their best work. 

You will lead the People Operations team in executing all Human Resources (HR) functions, in addition to maintaining daily administrative operations and compliance and risk management programs. The ideal candidate will possess a strong business acumen, exceptional communication skills, and a strategic mindset to effectively navigate complex challenges and drive sustainable results.

As part of our team, your core responsibilities will be to:

Administrative Operations:

  • Collaborate with identifeye’s leadership team to devise and execute a strategic plan for operational excellence
  • Develop and monitor business performance metrics
  • Oversee financial operations including accounting (accounts payable, accounts receivable, payroll), budgeting, forecasting and financial reporting by working closely with leadership and back office support
  • Coordinate and direct the preparation of the budget and financial forecasts and report variances
  • Collaborate with key stakeholders to develop and manage budgets, ensuring resources are allocated effectively to support business objectives. Monitor financial performance and identify areas for cost savings and optimization.
  • Work closely with tax advisors to ensure compliance with tax laws and regulations. Prepare and file tax returns accurately and timely.
  • Collaborate with stakeholders to gather and document business requirements for a scalable, secure billing system to support product launch, ensuring alignment with company billing requirements; oversee the end-to-end implementation process from requirement analysis to system deployment
  • Ensure compliance with federal, state, and local legal requirements, consulting with external advisors, advise management on actions needed to comply with laws and regulations and drive implementation of relevant programs. Ensure compliance with GAAP and regulatory requirements.
  • Collaborate with key stakeholders to ensure alignment of compliance and risk management initiatives with business objectives. Provide guidance and support to departmental managers on compliance related matters.
  • Coordinate annual audits and liaise with external auditors to ensure compliance with auditing standards and regulatory requirements. Address audit findings and implement corrective actions as needed.
  • Identify opportunities to enhance organizational effectiveness. Lead change management initiatives and promote a culture of continuous improvement and innovation.

People Operations:

  • Develop and execute best-in-class HR strategies aligned with identifeye’s objectives and culture, proactively identifying solutions to address gaps and implementing action plans to influence change and drive improvements
  • Lead and mentor the People Operations team, fostering a values-centered lens on employee support, initiatives, and business partnership
  • Execute People Operations functions including but not limited to: compensation programs, managing employee benefits and open enrollment, PEO management, vendor management, compliance and employment law
  • Oversee and support People Operations team in managing talent acquisition and talent management, performance management, learning and development and employee engagement programs
  • Build strong relationships with identifeye teams to understand their objectives, challenges and overall strategy. Serve as a strategic business partner, providing coaching and mentorship to effectively solve problems, mitigate risks and drive successful business outcomes.
  • Champion our company culture and values, ensuring they are integrated into all aspects of life at identifeye. Shape and steward our culture and employee experiences that will attract, inspire, and retain top talent.

What We Are Looking For

Baseline Skills, Experiences, & Attributes:

  • Bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, or a related discipline
  • 10+ years progressive experience in senior operational, administrative and/or HR leadership role, including at least 3 years in a supervisory role of a high performing HR/People Operations function, cultivating a people-centric culture and value-driven mindset
  • Experience in corporate strategic planning, financial management and operations
  • Strong financial management skills, including budgeting, financial analysis, and resource allocation. Experience using enterprise software for accounting and financial management. 
  • Knowledge of GAAP and financial reporting requirements
  • Proficiency in leveraging data and analytics to inform decisions, measure success and drive continuous improvement.
  • Proven ability to streamline operations, improve efficiency, and implement best practices across administrative functions. Experience with process optimization and change management.
  • Extensive knowledge of employment laws, regulations and industry best practices, with ability to drive compliance and mitigate risks. Experience implementing and maintaining compliance and risk management programs.
  • Proven track record of providing strategic direction and leadership in aligning HR initiatives with organizational goals. Ability to translate business objectives into actionable people strategies that drive growth, innovation, and sustained success.
  • Strong focus on developing and empowering leaders at all levels. Confidence in coaching and proven ability to provide leadership training and mentorship.
  • Excellent communication and interpersonal skills, strong sense of empathy and the ability to build strong relationships at all levels
  • Excellent analytical, organizational and problem-solving skills
  • Thrives in high ambiguity, with ability to work under pressure, adapt and lead through change and growth. Willingness to challenge convention and drive unique solutions.
  • High level of integrity and ethical standards

Preferred Qualifications

  • Advanced degree in Accounting, Finance, Human Resources, Business Administration or related field
  • Certified Public Accountant (CPA) or another relevant certification
  • Relevant HR certifications (i.e. PHR, SPHR or SHRM-CP)
  • Prior experience in a small-team, startup environment
  • Prior experience within medical device, biotech or life sciences

What We Offer

Anticipated Salary Range: $140,000 to $180,000 annually. The base salary range represents the anticipated low and high end of the salary range for this position. Actual salaries will vary and may be above or below the range based on various factors including but not limited to work location, operational needs, potential employee qualifications and other considerations permitted by law. The range listed is just one component of our total compensation package for employees. Other rewards may include annual bonuses, equity and program-specific awards. In addition, we provide a variety of other benefits to employees including but not limited to:
