Job Title: Bid Coordinator

Reports to: Lead Estimating

Salary: 65,000- 75,000 (depending on experience)

Job Description:

As our Bid Coordinator, you will be the driving force behind creating winning proposals that inspire confidence and secure opportunities. This role combines strategic planning, creativity, and collaboration to deliver proposals that align with our company’s mission, values, and goals. You’ll work closely with cross-functional teams to craft compelling bids, ensure deadlines are met, and help position our organization as the preferred choice in the market.

Duties/Responsibilities:

· Take ownership of crafting winning proposals that showcase our team's expertise and innovation. You'll dive into each project with passion, turning our team's skills and services into compelling narratives that stand out. Your proposals will highlight our strengths, demonstrating why we're the best choice for our clients and making a direct impact on our success.

· Work closely with colleagues across departments to bring together ideas and information into a cohesive bid. Collaboration will be at the heart of your work as you gather insights and expertise from various teams. You'll transform diverse perspectives into a unified, well-structured proposal that reflects our collective vision and capabilities.

· Review every detail to ensure proposals meet client requirements and stand out from the competition. With an eye for detail, you'll carefully review every aspect of a proposal to ensure compliance and clarity. Your thoroughness will help us deliver polished, professional bids that set us apart from competitors.

· Keep projects on track by organizing tasks, meeting deadlines, and communicating with all contributors. You’ll manage timelines and delegate tasks to keep the process running smoothly and efficiently. By staying organized and maintaining clear communication, you'll ensure everyone is aligned and the project is completed on time.

· Help refine and improve our processes so we can deliver even better proposals in the future. Your role will include identifying opportunities to make our bid process more effective and streamlined. By implementing new tools and refining workflows, you'll help us continuously raise the bar for quality and efficiency.

· Build lasting relationships with team members and partners to create collaborative success. You'll cultivate strong connections with colleagues and external partners, fostering an environment of trust and teamwork. These relationships will be key to producing high-quality proposals that benefit from shared expertise and collaboration.

· Stay informed about industry trends and client needs to strengthen our proposals. Keeping up with the latest industry developments and client expectations will be a vital part of your role. Your insights will ensure our proposals remain relevant, forward-thinking, and perfectly tailored to client needs.

Qualifications:

· A degree in Business, Communications, Marketing, or 2+ years’ experience in a bid coordinator/similar role.

· A track record of success in bid coordination, proposal writing, or similar work.

· Proficiency in mathematics, statistics, and data analysis

· Excellent analytical skills and attention to detail

· Report writing and strategic planning skills

· Familiarity with analyzing requirement data to develop material and cost estimates for large projects

· Expertise with analytic tools, such as spreadsheets and database managers

· Proficient in Microsoft Office Suite or similar software.

· Ability to read and interpret technical documents

· Excellent written communication and interpersonal skills

· Exceptional time management skills

· Must have a valid Driver’s License

Physical Requirements:

· Must be able to lift up to 50 pounds at times.

· Must be able to climb service ladders/ stairs to access Mechanical Equipment. The locations will vary from basements to rooftops.

· Have the ability to work in various weather conditions from summer heat to possible frozen road conditions.

· Prolonged periods sitting at a desk and working on a computer.

Job Type: Full-time, Non-Exempt

Schedule:

· 7:00 am-6:00 pm availability

· Monday to Friday

· May be required to come in early or stay late to accommodate special opportunities.
