Medical Records Coordinator

Position Overview
The Medical Records Coordinator organizes, tracks, and carries out records requests, indexing and archiving processes in a manner consistent with medical, administrative, ethical, legal, and regulatory requirements of the behavioral health care system. Acts as a resource for staff and clients on state and federal requirements related to client privacy and confidentiality, client rights regarding health information, and information disclosure and release processes.

- Full-time, 40/hrs
- Monday-Friday, 9am-5:30pm
- Hybrid
Compensation Disclosure
- Starting hourly range between $20.00-25.00
Final Compensation offered will be within pay range based on qualifications/experience met for the position
How Medical Records Coordinator Empower Recovery
- Protect the privacy of clinical records to ensure that confidentiality is maintained.
- Receive, communicate, log and route as necessary, all associated authorizations, court orders, legal requests or other types of records requests to ensure the proper handling of PHI and disclosures.
- Develop and execute all aspects of the records management function including policies and procedures for archiving clinical records, carrying out PHI disclosures and requests and ensuring the integrity of the clinical record.
- Review records to be released for completeness, accuracy, and compliance with authorized disclosure requests.
- Ensure client rights under HIPAA by fulfilling client requests to access treatment information within required timeframes and document such disclosures according to HIPAA requirements.
- Utilize a records tracking system to track and organize records in various stages of the archiving and disclosure process.
- Scan and index paper elements of the clinical record such as consents and external records into the appropriate electronic clinical record according to established criteria and guidelines.
- Work with The Emily Program (TEP) and Veritas Collaborative (VC) providers and other members of staff to review and carry out disclosures and requests for treatment information and to obtain the necessary clinical input regarding such disclosures.
Education Qualifications:
- Bachelor’s degree preferred
Professional Qualifications:
- 1+ year experience in administrative support, preferably in a healthcare setting
- Familiarity with HIPAA policies in procedures in regards to medical records or mental health, preferably
- Experience using Microsoft Office – Word, Excel, Powerpoint, Outlook
- Proficient computer skills and ability to use technology to communicate with others
