Admissions Admin Assistant (Remote)

Position Overview - Remote
The Admissions Admin Assistant supports the Admissions team, which serves as the first point of contact for prospective and returning clients, families, and referral sources seeking treatment with The Emily Program. The Admissions Admin Assistant works closely with the team to help complete administrative tasks for incoming clients, ensuring accurate chart setup and helping to prioritize and coordinate requests and referrals coming into the team. The Admissions Admin Assistant helps support the administrative details of the pre-admit process so clients can focus efforts on recovery.

- Full-time, 40 hours/week
- Monday-Friday 10:30a-7p CST
Compensation Disclosure:
- Admissions Admin Assistant: Salary hourly range between $37,000-42,000
Final Compensation offered will be within pay range based on qualifications/experience met for the position
How Admissions Admin Assistant Empower Recovery
- Manage and monitor the shared admissions email inbox, ensuring timely routing and response
to inquiries and referrals. - Forward emails, voicemails, and webform submissions to the appropriate team members for
follow-up. - Process miscellaneous inbound communications, including Contact Us webforms and general
admissions inquiries. - Enter referrals received via email and fax into Salesforce accurately and promptly.
- Manage the Admissions fax line by forwarding documentation to the appropriate Admissions
Coordinator (AC). - Create Avatar NX (EHR system) charts and distribute notifications to partnering departments for
required follow-up actions (e.g., benefit verification completion, adding to the outpatient
waitlist, etc.) - Enter client information in Census Web App for individuals pursuing treatment at The Emily
Program. - Create myHealthPointe accounts for admitting clients.
- Assigning new leads and internal referrals to appropriate team members based on workflow and
coverage needs. - Take live messages on the phone queue as needed and ensure timely communication to staff.
- Schedule TH MI appointments in Avatar NX and Secure Video platforms.
- Maintain accurate data entry and documentation across multiple systems and platforms.
- Support admissions operations through effective coordination, communication, and
administrative support. - Shift responsibilities to meet the current demand of the team based on call volumes, which
could include making outbound calls to help reach team goals
Qualifications
- High school diploma or equivalent, required.
- Bachelors degree (preferably in a human services-focused field i.e social work, psychology, etc.)
or equivalent experience preferred. - 2+ years of experience of healthcare experience preferred.
- 2+ years of experience with direct client service preferred (employment or volunteer capacity).
- Experience in mental health care and eating disorder treatment preferred.
- Experience with insurance companies and insurance terminology preferred
