Position Overview
DCG is seeking an Events Coordinator to support the National Science Foundation’s (NSF) Office of Legislative and Public Affairs (OLPA). Event Coordinators will provide event planning, logistics, coordination, and on-site support for meetings, conferences, exhibits, outreach events, and high-profile engagements involving NSF leadership, including the NSF Director. This team ensures seamless execution of in-person, hybrid, and virtual events that effectively communicate NSF’s mission and research impact to diverse audiences. A key piece of this support will be providing expert guidance on efficient and engaging event formats, managing multiple large-scale and high-visibility events simultaneously, and responding to rapid-turnaround requests.
Note: This position is currently contingent on contract award
Location
Alexandria, VA
Responsibilities
- Provide logistics support for a variety of meetings, events and conferences
- Provide direct support to internal and external events to include managing venue requirements, signage, invitations, attendance, and other requirements as needed
- Research requirements and context for various events, meetings and conferences, to ensure that the NSF Director and OLPA Staff are prepared to interact with various audiences and stakeholders
- Identify and manage inventory for educational information resources and other outreach materials
- Coordinate exhibit design, technology, and management with designated vendors/partners
- Provide expert guidance on the most efficient and effective options for building/curating/creating exhibits and activations, supplies and experiences to suit specific event needs
- Utilize Adobe CS, Microsoft Office Suite, and other project management and design programs as needed
- Adapt onsite events and exhibits planning and logistics skills to virtual platforms and environments.
- This position may involve some travel
Required Qualifications
- Bachelor’s degree in Communications, Public Relations, Journalism, or related field
- Minimum of 2 years of professional communications experience
- Demonstrated experience in media relations, event planning, or executive engagement support
- Strong writing, research, and presentation skills
- Ability to manage multiple priorities and work under tight deadlines
- Ability to carry/maneuver various pieces of heavy equipment (50+lbs) for onsite events and exhibits (e.g., carrying banners/boxes of materials to rolling crates.)
