Overview:
Provide logistical and operational support for the Operations Center reporting to the Office Operations Supervisor. In addition to preparing and handling mail for delivery and distribution, the Office Operation Representative will provide facilities, office services, and general administrative support as needed. Interacts with a diverse group of internal and external clients at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload to ensure consistent excellent services are provided.
Responsibilities:
- Mail Preparation and Delivery
- Proficiency in time management to ensure prompt delivery of outgoing registered and certified mail to external companies, vendors, tenants, and to USPS/UPS/FedEx/Messenger Service.
- Mail Distribution
- Efficiency, organization and accuracy in sorting, distributing, and routing interoffice mail within the Main Office and to other Company offices.
- Time-Sensitive Mailing
- Effectively coordinates with internal departments to provide efficient delivery and receipt of time-sensitive documents and/or packages.
- Reception Desk Coverage
- Provides front desk coverage during lunch hours, absences, or as scheduled.
- Greets visitors, clients, and staff, ensuring a positive and welcoming environment.
- Promptly obtains or retrieves documents, including records, bills, receipts, deposits, and legal documents from internal departments, tenants, vendors.
- Provides facilities support for vendor pickup/deliveries which include in-house and external tasks.
- Routinely stocks all copy centers, pantries, conference rooms and employee lounges following Company standards.
- Orders and maintains stock of office supplies.
- Follows and maintains conference room standards established by Office Operations Manager and Office Operations Supervisor.
- Responsible for supporting employee office moves including during the preparation and execution stages.
- Ability to prioritize tasks efficiently and logistically.
- Knowledge of inventory systems and tracking.
- Performs all other related duties as required and assigned by Operations Supervisor.
- Serves as a resource, advocate, and catalyst for sustainability at The Durst Organization. Qualifications:
- Minimum high school diploma or equivalent.
- Minimum 2 years of previous corporate mailroom or related experience required.
- Effective and professional verbal and written communication. Writes and speaks in a clear, concise manner, actively listens and seeks clarification, as necessary.
- Must be dependable, punctual, and able to work independently and collaboratively in a team environment.
- Previous phone/reception experience (multi-line phone system preferred).
- Detail oriented and organized.
- Maintains a professional demeanor.
- Intermediate to advanced computer skills including databases and Microsoft Office Suite.
Salary range: $55,000 - $65,000 (hourly rate is $26.44/hour - $31.25/hour)
