Overview:

Reporting to the Senior Associate Corporate Counsel of The Durst Organization, the Paralegal is entrusted with confidential support to the Legal department, including record keeping, administration of real estate-related contracts, calendar management and invoice processing. Organizational skills, professional judgment, tact, flexibility, timeliness, attention to detail and the ability to multi-task, while prioritizing a complex workload, are expected.

This role requires both substantive and administrative duties, including review of legal and corporate documents, as well as digitization, maintenance, and retention of documents.

Responsibilities:

  • Contract management and support for standard corporate agreements, including preparation, review, revision and assessment of a variety of legal documents, such as Purchase Orders, Work Orders, Project Authorizations, Non-Disclosure Agreements and Bicycle Access Agreements.
  • Support commercial lease administration efforts, e.g., by tracking tenant letters of credit, reviewing new lease encumbrances, reviewing estoppel certificates and responding to questions from the Commercial Leasing department.
  • Provide support to internal departments in preparation and review of contracts.
  • Manage attorneys’ calendars, professional communication and corporate correspondence by answering calls, taking messages or forwarding to the appropriate party, typing correspondence and reviewing and processing incoming mail.
  • Proactively manage deadlines for the Legal department and keep track of due dates to ensure documents and projects are addressed in a timely manner.
  • Invoice management, including submitting and tracking of approval workflow and payment status.
  • Ensure accurate maintenance of digital and paper documents and databases for efficient retrieval and disposition.
  • Obtain relevant information from other organizations or agencies, e.g., entity searches using appropriate state governmental agencies, NYS Unified Court searches to verify active cases, and call appropriate courts to confirm current active cases.
  • Manage the process of signing and diligently tracking progress of legal documents.
  • Record, oversee and monitor documents and items being placed in and removed from storage as required by company retention policy.
  • Develop and maintain Legal department tools to streamline and improve new or existing practices.
  • Support the creation and maintenance of standard operating procedures and trackers for efficient workflow.
  • Digitize and make available company-wide documents to Executive Management and internal departments.
  • Collaborate with business partners across the organization and outside counsel as necessary.
  • Perform all other projects and duties as required and assigned.

 Qualifications:

  • College Degree or relevant certification (paralegal and notary) preferred
  • Minimum 3 – 5 years of experience as a paralegal in a law firm or in-house legal department required
  • Strong time management skills to handle multiple assignments, with a high degree of accuracy and initiative to meet deadlines
  • Excellent verbal and written communication skills
  • Advanced proficiency in Microsoft Office applications (i.e. Word, Excel, Outlook, and PowerPoint)
  • Lease administration experience preferred but not required
  • Exceptional attention to detail and strong organizational skills
  • Strong work ethic, ability to work independently and in team settings
  • Professional demeanor with a can-do attitude
  • Experience with digital asset management systems and Sharepoint, OpenText preferred
  • Discretion with confidential matters required

Salary Range: $90,000.00 - $110,000.00 (annual)
