About the role

The Film Finance & Packaging On-Desk Coordinator plays a key operational and organizational role within the department, supporting the department head and helping manage the flow of projects from early packaging through production, sales, and distribution. This position is ideal for someone with foundational entertainment experience who wants to deepen their understanding of independent film financing, deal structures, and market strategy. The Coordinator serves as an essential point of contact for internal and external stakeholders and contributes to project tracking, materials management, and submissions workflow.

 

Duties

Department & Administrative Operations

  • Oversee complex calendar, travel logistics, phone coverage, expense reports and scheduling for Department Head, including fast‑paced festival and film market environments.
  • Maintain organized digital files, contracts, project materials, and departmental databases.

Project & Materials Coordination

  • Track contracts, payments, and deal-related documentation; liaise regularly with Accounting and other internal teams.
  • Coordinate submissions, maintain incoming/outgoing material logs, and ensure accurate version control.
  • Draft and refine internal and external communications, including pitch materials, coverage summaries, and status updates.

Creative & Market Support

  • Review a high volume of scripts and materials; evaluate fit based on department needs and provide concise written coverage.
  • Serve as the first point of review for submissions and flag priority material for agents.
  • Prepare research briefs, project lists, market grids, and festival/market preparation documents as needed.

Stakeholder Engagement

  • Facilitate screenings with clients, managers, producers, financiers, studio executives, and other industry leaders.
  • Support agents in managing client needs, updating client materials, and tracking project progress through all stages.

 

Qualifications

  • Bachelor’s degree required.
  • 2+ years of professional experience, preferably within talent agencies, management companies, film finance, production, or development.
  • Prior administrative or coordinator-level experience strongly preferred.
  • Strong written and verbal communication skills; ability to craft polished, professional correspondence.
  • Exceptional organizational skills with a high level of attention to detail.
  • Ability to manage multiple deadlines simultaneously in a high-pressure environment.
  • Strong initiative, critical thinking, and problem‑solving skills.
  • Ability to handle confidential information with discretion.
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
  • Interest in film producing, finance, or packaging is a plus.

 

Compensation

$24-25/hour + Full Benefits
