THE POSITION

FTF seeks an experienced, collaborative, and adaptable grants management professional for the position of Grants Manager. Reporting to the Vice President, Grants Management, the Manager will administer grants for two of FTF’s program areas (to be determined based on skill, interest, and team needs), work collaboratively to continually improve grants management practices, and serve as a resource and support on issues such as grants compliance.

The Grants Manager will work closely with the Vice President, Grants Management, grants management team members, program officers, and FTF leadership to manage proposals from start to finish, including legal and IRS compliance, review of grantee financials, intake of grant requests, grant payments and reporting. They will work closely with the assigned grantmaking programs, developing a working knowledge of the strategy and grantees, and providing insights and updates to the team on grants management activities and needs. The ideal candidate will bring a strong commitment to social justice and the mission of FTF as well as experience and understanding of grants management, preferably in a private foundation context, as well as knowledge and understanding of IRS compliance. They will be versatile in technology systems and databases, and ideally have experience using Fluxx, FTF’s grants management system. They will be flexible and adaptable, detail oriented, highly collaborative, and a quick learner and problem solver. They will be a great team player and bring strong communication skills and the ability to independently manage a robust, fast-paced workload.

RESPONSIBILITIES

The Grants Manager can expect to engage with the following challenges and opportunities:

Ensure effective grants management:
•    In partnership with program teams, assist with the full grantmaking cycle including monitoring grants, reviewing applications, completing due diligence, processing program-related contracts, processing grant reports and amendments, and preparing and coordinating related correspondence.
•    Work with the vice president of grants management to provide guidance to program staff on IRS regulations for Private Foundations.
•    Upon request, provide assistance with writing, editing, and proofreading for materials and respond to routine inquiries via phone and e-mail.

Maintain accurate, consistent, and high-quality data and reporting: 
•    Ensure effective tracking and reporting of grants using Fluxx.
•    Maintain records for grants and the integrity of grants data using Fluxx, including reviewing and completing organization records, ensuring documents are accurately tagged, overseeing grant report reminders, and working with the finance department to facilitate the payment process.
•    Provide Fluxx reports regularly and as needed to Program staff and Leadership.
•    Assist program staff with effectively creating and monitoring grants in Fluxx.
•    Assist in the preparation and distribution of the board book prior to each Board meeting.

Support ongoing process and practice improvement for grants management: 
•    Lead or participate in projects to help clarify, streamline, and document grant-related processes, policies, and procedures.
•    Collaborate with grants management colleagues to share learning, problem-solve, and foster a seamless and excellent grants management function. 

QUALIFICATIONS

  • Significant (~5 years or more) of philanthropic grants management experience, or the equivalent understanding of the grantmaking process.
  • Strong technical and database capabilities, with experience in grant management databases, preferably Fluxx. Knowledge/experience working with data analysis is helpful.
  • Expertise on IRS regulations related to Private Foundations.
  • Attention to detail and the ability to manage a fast-paced heavy workload.
  • A natural team orientation, with eagerness to provide support and a willingness to ask for help as needed. The desire to work collaboratively across a diverse team and to move work forward independently. 
  • Excellent written and verbal communication skills, with the ability to present material in an understandable manner to management, and the program and grantee community. Strong interpersonal skills to manage relationships with a diverse group of busy stakeholders. 
  • Proven organization and planning/time management skills; ability to meet deadlines while managing multiple assignments simultaneously.
  • A problem solver with the drive to learn and the resilience and flexibility to adapt to change in a dynamic and fast-paced environment.

SALARY & BENEFITS

The targeted starting salary range for this position is $120,000 – 140,000, based on experience. FTF offers an extensive and generous benefits package including health insurance (with 100% of the premiums paid for employees, spouses, domestic partners, and qualified family members), paid time off (including last week of the year), 401(k) retirement plan with 12% employer contribution, and access to an inclusive family building reimbursement plan. FTF provides up to $5,000 annually for professional development and the ability to recommend an annual grant to the nonprofit of your choice.

This position is based in New York, NY. FTF works on a hybrid schedule and staff are required to be in the NY office three days a week and can work from home two days a week.
