Account Coordinator

Overview:
The LOOMIS Agency is looking for an Account Coordinator to join our account team and help keep client work moving from kickoff through execution. This is an early-career opportunity for someone who is highly organized, curious, resourceful, and eager to learn how an integrated advertising agency operates.
The Account Coordinator is a key communication conduit within the agency, supporting the account team with scheduling, information gathering, project coordination, meeting management, and routing work across departments. You’ll work closely with Account Executives, Account Directors, Project Managers, Creative, Media, Digital, and other agency teams while beginning to build relationships directly with clients.
This role is ideal for someone who enjoys being in the middle of the action, takes initiative, pays attention to the details, and wants to develop a career in account management.
Essential Duties and Responsibilities (Other duties may be assigned)
Account & Client Support
- Support Account Executives and Account Directors with the day-to-day management of client accounts.
- Begin developing client relationships by building rapport and becoming familiar with client needs, preferences, and working styles.
- Coordinate internal and external meetings, including scheduling, agendas, materials, presentation equipment, and hospitality.
- Attend client and internal meetings, capture clear and actionable notes, and distribute approved meeting summaries within 24 hours.
- Follow up on meeting action items and ensure assigned tasks continue moving forward.
- Maintain accurate client records, including key events, promotional periods, competitive activity, and relevant business information.
- Support client reporting and communication as needed.
- Keep senior account team members informed of challenges, delays, or potential issues.
Project Coordination
- Prepare job starts and support kickoff meetings for assigned projects.
- Work closely with Project Managers to ensure agency schedules align with client expectations and deadlines.
- Coordinate with Account Executives, Project Managers, Creative, Media, Digital, and other agency partners to keep work moving.
- Help ensure agency processes are followed and deliverables remain on schedule.
- Maintain project documentation, feedback, job jackets, and supporting materials.
- Open and maintain jobs and project information in agency systems, including NetSuite and Asana.
- Maintain organized client and project folders and ensure materials are stored appropriately.
- Lead project updates and provide status information during internal team meetings.
- Coordinate the routing of materials to the appropriate teams, partners, and media outlets with clear instructions.
Client & Business Knowledge
- Begin developing a holistic understanding of each client's business, industry, competitors, customers, and marketing objectives.
- Research competitive activity, industry trends, and relevant market developments.
- Visit client locations and competitors when appropriate and share observations and insights with the account team.
- Stay current on advertising, marketing, media, and industry trends.
- Maintain competitive materials, presentations, research, and other resources for client teams.
- Develop an understanding of how different agency disciplines work together to support integrated campaigns.
Team & Agency Collaboration
- Build strong relationships across agency departments and develop an understanding of each team's role in the work.
- Serve as a reliable communication link between account teams and agency partners.
- Support new business opportunities, including research, preparation, and presentation development.
- Identify relevant client industry events, seminars, workshops, and shows that may provide value to the agency or client.
- Contribute ideas and perspectives to the creative and strategic process.

- 1-2 years of experience in advertising, marketing, communications, public relations, or a related field; internships and relevant agency experience are welcome.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.

- Ability to manage multiple priorities, deadlines, and projects in a fast-paced environment.
- Strong interpersonal skills and the ability to build relationships with clients and internal teams.

- Comfortable taking notes, asking questions, following up, and keeping projects organized.
- Ability to work collaboratively across creative, media, digital, production, and account teams.
- Interest in developing a long-term career in account management and advertising.
- Experience with project management tools such as Asana, Teamwork, or similar platforms is a plus.
- Proficiency with Microsoft Office and other standard business tools.
